EmilyTapestrySupport Posted July 13, 2016 Share Posted July 13, 2016 These instructions describe the process of adding an individual child to Tapestry. If you would like to import children in bulk from a CSV file, which you may be able to export from a Management Information System (MIS) or other source, please take a look at the Importing data to Tapestry tutorial. This tutorial however, covers how to add children manually, one at a time. To do this, we need to go to the management area of Tapestry, the Control Panel. A manager can find this section by clicking on their name in the top right-hand corner (1) and selecting 'Control Panel' (2) from the drop-down menu. Once in the Control Panel, in the menu on the left side of the screen click on 'Manage Children' (1) and then the '+ Add Child' button (2). At the top of this page you can see how many enrolling, active, inactive and awaiting deletion children you have, as well as the total number of children and how many free enrolling and active child spaces you have on your account (3). By default you will see all children you but if you just want to see enrolling, active, inactive or awaiting deletion children, you can click on the appropriate button. Once you've clicked on the add child button, you will be taken to the form which you will need to fill in to add a new child in Tapestry. I'll go through this below: 1) Here is where you can add a photo of the child (this is optional). If you do add a photo, it will show up in the list of children, observations etc. You will need to click the "Browse" button to open the file explorer on your computer and select the photo. You can then edit the image if necessary by using the rotate and crop buttons. 2) Enter a first name and last name for the child. You do have to fill in this information to save the child. 3) Select the correct gender from the drop-down list. You don't have to change this to save the child, but 'Male' will be selected by default. 4) Enter a date of birth by clicking in the box and selecting it from the calendar. This is required to save the child as it is vital to work out how their assessed age relates to their actual age. 5) Tapestry will automatically assign a child a cohort based on their D.O.B, but you can choose to override that from the drop-down box. Everything else is optional, but you might find it useful to fill it all in so that you can more easily filter and track progress/attainment of children with specific needs. 1) If your children are in Reception or above, they may have a Unique Pupil Number (UPN). You don't need to enter this into Tapestry, but if you would like to, you can do so here. 2) If you are using Tapestry to create your EYFSP submission you might want to put in their postcode that can be included in the file. Enter that here. 3) If the child speaks English as an additional language and you would like that to be recorded on Tapestry, tick this box. 4) Use the drop-down list indicate whether the child is eligible for free school meals. 5) Tick this box to indicate that the child is receiving pupil premium funding 6) Select a Special Educational Needs (SEN) provision here if required. In the ‘Status’ section you have two different options available to you as to what the status of the child will be once you finish adding them. These are: Active: this is the default option. This means once you have finished adding the child they will contribute towards the number of children in your package. You will also be able to use the full functionality of Tapestry with them, such as add observations, memos and activities. Enrolling: this is designed for when you want to add new children to your package who haven’t actually started with you yet. Children that are enrolling will not contribute to your number of active children. With enrolling children you can add them to groups, link them to relatives and link them as a key child for staff as well as complete their About Me and add name labels for them, but most features are not available for them until they become active. You can only add the same number of enrolling children to your account as you have spaces for active children. So if you have an up to 60 child package, you can only add up to 60 enrolling children. Please note, if you add a child as active, it is not possible to later change their status to enrolling. If you add a child as enrolling, you can activate their account at a later point by following this tutorial. Below this you have the permissions section where you can choose whether you would like the child's relatives to be able to view and edit the child's 'All About Me page'. You can find a more detailed tutorial for that here. Lastly, you will have the option to manually set a password for the child manually (1). This will allow them to log into their own account if you have our Child Login feature enabled. However, we do generally recommend automatically generating the children's passwords instead, as this will provide you with a PDF file you can download and save.
