Adding Key Children to Staff

You can set each member of staff up with their own Key Children on Tapestry. You can then make Tapestry only show a staff member their own Key Children.

This can be really helpful for managing all the children on your account. For example, if specific staff members only observe and assess specific children, they will only see the children they need to see. If you are in a school, you may want to set up the class Teacher as the key person and assign them the children from their class.

Setting up key children can still be useful even if you want to be able to see all the children on your account as it acts as an organisation tool. It will help you to find a small set of children quickly and you will be able to filter the children on Tapestry by their Key worker in the page filters, analysis, and snapshot sections. This easy organisation of your children into their key worker groups will also help support your curriculum planning and help you and your staff to follow the children's learning patterns and experiences. 

You will also be able to add your own key children to observations all in one go, rather than selecting each individually.

 

If you have already added staff members to Tapestry, then you can follow the steps below on how to assign key children to staff.

If you want to assign key children to staff as you add them to Tapestry then you can scroll down the tutorial, to about halfway, to see how you can assign them.

In both cases you will need to start off by signing into the browser version of Tapestry as a manager, clicking on your name and then going your Control Panel.

From there you will need to go to the Manage Staff section (1) and click on the ‘Manage Key Children’ button (2).

This will take you a page where you can see a list of your staff members, underneath their names you can see if they already have key children assigned. To attach new children, you just need to click on the ‘Edit Relationships’ button.

You will then see a pop-up box with a list of all your children’s names. To attach them you just need to select the key children from the boxes (1). If it's easier for you to select a whole group of children, you can use the 'Select all' button (2). You can also search for the child/re directly (3), or narrow down the list of children by using the tabs (4).

When you’re finished press the ‘Done’ button (5).

Please note, you will see children that are ‘enrolling’, as well as children that are active within this list. Children that are enrolling do not contribute to the number of active children on your account and you cannot use the full functionality of Tapestry with them e.g. add observations for them, but you can set up some basic information for them, such as fill in their All About Me. When you are ready to make enrolling children, you just need to follow the instructions in this tutorial

You will then see these children appear under the staff member’s name (1). If a child is 'enrolling', they will be labelled as such (2).

Attaching key children when adding staff or by editing them individually

If you haven’t added staff to your account yet you can assign key children as part of the process of adding them. You can do this by clicking on the blue '+Add Staff Member' button at the top of the page (1).

You can get to the same page that that takes you to, but for an existing staff member by clicking on the 'Edit' button (2).

That will take you to the page where you can change details about the staff member such as their name, email address, and password. If you scroll right to the bottom, you'll also see a section about key children. Simply click on the 'Attach new child' button to see a list of all the children at your setting.

When you click on their name, they will be added to the staff member as a key child (1). If a child that has been linked is enrolling, they will be labelled as such (2). You can remove them again by clicking on the 'X' next to them (3). 

You can add as many children as you would like, and you can add each child to as many different staff members as you like.

When you're happy with the list, press 'Save' (4).

That will take you back to the Manage Staff section where you can see all the staff members at your setting. You should notice that the staff member you have just added/edited now has a box with the number of key children that they have next to their name (1). There will also be a message at the top confirming that the staff member has been updated (2).

So you should now be set up with key children for you or your staff members!
