Committee DBS

I was under the impression that the checks for committee members were free, or have I just dreamt that in my befuddled brain? I can't remember if we paid last year or not. I was so excited at the start of term to get a few more volunteers on the committee, but I cannot afford to pay £52 for each person. I am so confused, just renewed all staff on the update service which has cost enough at this moment in time!

Someone please spread some light for this confused, befuddled old bird!

I think my committee member must have not clicked the volunteer button. Can anyone explain why committee members who are only going to be with us for one year need to sign up to the update service? I just do not understand it.

 

AGM next week and am dredding this starting all over again...was that really a year ago :'(

Glad it's not just me feeling like this! Thought I had got to grips with it last year but seemed to be just as confused this year.

I don't even get why they alllllll need to do DBS let alone the update, when we should welcome them all in as parents anyway....I get the officers but all the others, and trying to find a bank left open within a 30 mile radius to change signatories is not going to help the circus that is about to roll into town :-(

Okay so in answer to the update service and volunteers/ committee members. My understanding of this and I might be completely wrong is that,unlike the old system whereby a DBS had to be completed for each time a person helped at say for instance a pre-school, school, youth club etc.

Now the DBS is moveable to each position.

I have to say we have our AGM in November and I dread this process each year.

In a world of amazing technology the system appears to be so time consuming and an arduous task.

Seems like an easy £13, I have had a member of staff recent DBS with us, updated, summer job (same thing) they didn't want to check update did another, added to update, now starting another job as part of training didn't want to check update so did again...she now has 3 DBS all added to update service within a year ....crazy

I just had this in an email from O. May be of some use!

 

 

 

If you already have a DBS check through another organisation, this must state ‘Child Workforce’, be Enhanced and you must be signed up to the DBS Update Service.

 

If individuals are already known to Ofsted through an Early Years association, a new DBS check does not need to be instigated. For example a currently registered childminder who joins a committee.

 

In section I5 of the EY2 the applicant can answer “No” to having a Capita-instigated check and then confirm they have a DBS check that meets Ofsted’s criteria.

 

Instructions on how to apply for a DBS check can be found at the following link:

After reading the guidance on the above website you will be asked for a 'Capita Organisation Reference'; this is: OfstedA

 

You will also be asked to enter a password; this can be left blank.

 

Upon completion of this stage you should receive a reference that follows this format:

 

111AAAA11111

 

You need this reference to complete Capita’s Identity Checking Form.

 

This should be returned to Capita as per the advice on page 2. Upon receipt you should then be sent another reference in the following format:

 

E1111111111111111111

 

This allows you to check the online progress of the DBS check.

 

This reference number will also allow you to subscribe to the update service (see below).

Please note that for childcare applications submitted via Ofsted Online on or after 1 September 2014, everybody associated with the application must join the Disclosure and Barring Service (DBS) update service and give their consent to Ofsted re-checking the status of their DBS certificate at least every six months.

You have a maximum period of 19 days from the issue date of your DBS check to subscribe to the update service. You can choose to subscribe upon receipt of your “E” reference number.

 

Once the DBS check has been completed and a disclosure notice is received, all new committee members, including nominated persons, are required to complete a Declaration and consent form (EY2).

 

You can complete the EY2 via the Ofsted Online website.

 

Each person completing a form will need to register their own Government Gateway account. If the originator name does not match the name on the form we will send an email to the applicant to advise them to submit their form under their own Government Gateway account. This is because the Government Gateway is personal to the applicant and is their authorisation for us to carry out suitability checks on them. In addition, the applicant will only be able to track their application online if they have submitted the form under their own Government Gateway account because they will have their own Ofsted security token which must be linked to their Government Gateway account.

 

Forgotten user IDs and passwords

 

If you have created a Government Gateway account, but have NOT submitted any forms, Ofsted do not have the facility to retrieve your log in details. You will be required to create another Government Gateway account and complete and submit the forms again.

Mousie, I did one at the beginning of July and its still stuck at Stage 4. I wouldnt mind but she already has one through volunteering at local school.

I spoke to another local nursery here and she said the same- they are taking ages. Last one I did took just over a week

Was completed yesterday from being submitted on the 19th, when have previously taken 2/3 days :-( Edited by Mouseketeer
