To see this information for the new EYFS, click here. In this tutorial we are going to look at how to see the number of observations and/or assessments a child has on Tapestry. The tutorial is broken up into two sections, the first part will cover the number of observations and in the second part we will look at the number of assessments. The tutorial is split in two because these figures might be different, as it’s possible to make an observation without an assessment and it’s also possible to add several assessments within one observation. Seeing the number of observations for different periods 2. Looking at the number of assessments We’re going to start with the screens that show you the number of observations. Looking at the number of observations There are a few places you can go on Tapestry to see the number of observations a child has; the first screen I will show you displays how many a child has in total. Viewing the total number of observations for a child To see this information, you will need to go to the child’s overview page. You can access this page in a number of different ways; by clicking on a child’s name from an observation, going to the ‘Children’ tab at the top of the page, clicking on their name and selecting ‘Overview’ or finally by going to the manage children page on the control panel and clicking on their name. Once you are on the child’s overview page you can see their total number of observations where it says ‘see all [number of observations] for [child’s name]’. This includes all types of observation; in the journal, not in the journal and staff only. Viewing the total number of observations added by staff members Please note by default only managers will be able to see this screen, if you want staff to be able to access it you will just need to change the user permission for this to 'permitted'. This tutorial talks you through the user permissions on Tapestry. To access this screen you will need to click on the 'Tracking' tab at the top of the page (1), you'll then need to select the 'General' tab (2) from there. Once you've done this please select the 'Individual View' in the 'Staff Observation Counts' section (3), as we are looking into individual children. When you go onto this screens, at the top of the page you will see the 'Filters'. These will allow you to select how, and what information, you see on this screen. The first filter (1) you can use to set the period you want to view the count for. You can choose to view this for a specific assessment period, the full history on your account or a custom period of your choosing. You will have to use the 'Child' filter (2) to view the data for the corresponding child and the 'Observations' filters (3) can be used to select the types of observation you want to be included in the count. You will then see a chart which has the name of each member of staff on your account along the side (1). You can use the scroll bar along the right-hand side of the chart to scroll through the staff members. The first row in the table shows you how many observations in total have been made by a member of staff for that child and the chosen period (2), and also the total observations made by their key workers (3). The first column will tell you the number of observations that each member of staff has made in total for the child you have selected to view (4), whereas the second column will tell you whether the staff member is a key worker for that child or not (5). Viewing the total number of observations added by relatives Similar to the screen above, by default only managers will be able to see this screen, if you want staff to be able to access it you will just need to change the user permission for this to 'permitted'. To access this screen you will need to click on the 'Tracking' tab at the top of the page (1), you'll then need to select the 'General' tab (2) from there. Once you've done this please select the 'Individual View' in the 'Relative engagement' section (3). You will then be able to filter through a period (1), either an assessment period or a custom made period, and the corresponding child (2). The first column will show a list of all of the relatives linked to the child (3), and the second will show how many observations have been added by each relative (4). Seeing the number of observations for the period you are in If you want to see how many observations you have made for a child, just for the period you are currently in, you will need to go to the ‘Children’ tab located at the top of the page. In each child’s profile box, you will see the number of observations broken down into whether they have been published or not. Remember you can check (or change) how your periods on Tapestry are set up by following this tutorial here. Seeing the number of observations for different periods If you want to be able to view the number of observations for different periods, other than the one you are currently in (although you can still view this here!), you will need to go to the thoroughness child picker screen. You can find this screen by going to the tracking tab at the top of the page (1), make sure are on the ‘EYFS’ section (2) and in the ‘Thoroughness’ box, select the ‘Picker: child’ button (3). Once on this screen you can then choose a period from the drop-down (1) or you can select your own custom period (2). You’ll then need to select a group of children to view this information for (3). The total number of observations are shown in the first column on this chart. It’s important to remember that this figure that it does not include observations that have not been approved, and it only includes observations that have at least one assessment included. Observations without assessments in do not contribute to this total. Looking at the number of assessments To view this information, you will need to stay on the last screen we were looking at; if you’ve skipped straight to this section, we’re looking at the thoroughness child picker screen and you can find instructions on how to get here above. The thoroughness child picker screen will show you the number of assessments that have been made, broken down by each aspect.
