Creating an EYFS Report

In this tutorial I will talk you through the steps of how to create a Report using the EYFS template. 

If you want to create a new report, click on the "Reports" button (1) on the top bar. You'll be automatically taken to your "Overview" page (2) which will show a list of the recent Reports. To start creating your EYFS report, click on "+ EYFS Report" on the list on the right-hand side (3). As you can see on the picture below, there are also templates to complete 2 Year Checks and your EYFSP.

Once you have confirmed the template you'd like to use and selected the child you are writing the Report for, you will be taken to this screen:

Be sure to give your report a title (1). Reports cannot be saved without a title. You can set the report's status and date from the Options box (2). 

The "Date of Entry to Setting", "Date of Birth" and "Age in Months at Check" (3) information will be auto-filled based on the Child's profile. 

There is a box for you to record any Additional Information (4) you feel is pertinent to this Report. 

Throughout the report you can choose to 'hide' certain sections or fields (5). If they are hidden, they will not show up in the finished report. Also, if any of the boxes contain no text they will be hidden by default. You can un-hide these at any point. 

After this you will see two more boxes:

(1) is for you to record the staff members the contributed to this Report

(2) is for you to record an overview of the child's playing, learning and thinking. This can be general, but you may want to refer the Characteristics of Effective Learning here. 

Once you've finished with these details, you'll see the first of the seven areas of learning for the EYFS. Each area has its own section. The aspects within that area are shown below.

Assessments - Age Bands and Refinements (if you have chosen to use Refinements at your setting) will be automatically filled from the child's most recent Summative Assessment. If you would like data from a different period, use the blue "Fill Assessments" button (1) to choose a "select period". You also have the choice of what type of assessments for the selected period appear. You can choose from "Earliest Assessments", "Latest Assessments", "Assessments with Lowest Age Bands" and "Assessments with Highest Age Bands"

Each Area has a section for staff to write notes specifically this area (2) 

As I said, the Age Bands and Refinements will be automatically filled, however you can change them by simply using the drop-down menus (3). Please note, changing any of these assessments on the report will have no effect on the child's summative assessment screen. 

If you would like to see the observations that contributed to this assessment, click the blue "observations" button (4) above each aspect.  

Reports can also generate Next Steps based on the current assessments as they appear on the report (5). If you would rather set your own next steps, you can simply delete them and type your own. 

After completing the areas or learning sections, there a few more details to consider:

Any additional information not covered previously can go in the Additional Information box (1).

There is a section for "Child Voice" and "Relative Contribution" (2 & 3). If you publish this report for relatives, these sections can be filled in by them at any point. However, you can also fill in these sections on their behalf if you wish. 

The report can be signed by the Key Person, Relative and Manager if needed (4).

At the bottom of the page you will find the 'Media' section. This will allow you to add any supporting documents, photos, videos or audio files. You can do this by clicking ‘Add Files’(1), selecting the files from your computer, and then clicking ‘Start Upload’ (2).

You can also remove any files you have added using the Delete button (3), or you can change the order of the files using the arrows on the right (4). Your order will be honoured once saved, but do note that documents show up in a different section to photos, videos and audio files. 

Once you're happy with everything, click 'Save Report' or 'Save and Add Another' and you're all done! (5)

You will see the finished version of the Report where you can add any comments. If you want to make your report visible to relatives, you just need to follow this tutorial.
