  1. The latest update to the Android/Fire app update is now out (version 4.1.2 ). This is for those of you using the Tapestry app on Android devices and Amazon Fire devices. You can now use the Android and Fire Tapestry apps to add assessments to your observations using any of your Bespoke Frameworks. This update also contains quite a few bug fixes meaning your experience with the app should be smoother and generally better. We are also ending support for Android 4.4 (and below). If you are using Android 4.4 or below you will still be able to use any previous app versions, but will not be able to update to 4.1.2 or any future upgrades. Some of you will be automatically upgraded to it and some of you will need to upgrade yourself from the Play Store. Please note that the release will be rolled out over the next few days, so if you are set up for automatic upgrades this might not happen for a couple of days.
  2. Hi TheLittleFirefly, First of all, thank you so much for your patience so far. We are very excited to confirm that Phase 1 of Tapestry's Management System is coming in Summer 2022. This 1st Phase will include a Booking system, so you can book your children in on your custom-made rooms/sessions. From this Booking system, you will then be able to generate a register for each room/session and print it out for attendance records. Digital registers will follow shortly after Phase 1. All Management System features will be completely free to all Tapestry accounts. We will be announcing the release of Phase 1 and all other phases through our usual channels: The change log Our Twitter account @Tapestry_FSF Our Facebook page Tapestry Online Learning Journal The coloured boxes in the tapestryjournal.com login page A yellow banner inside all manager and staff Tapestry accounts The subsequent Tapestry Newsletter (you can register to receive these directly in your inbox) So please make sure you follow us on SM, bookmark the change log, subscribe to the newsletter or keep an eye on the login page coloured boxes 😊 Best wishes, Olaya
  3. Hi paulkerton, First of all, welcome to the Forum! I am afraid that it is not possible to set 'staff view only' as the default option. However, staff members can simply update this from the options box as they create the observation. As it stands right now, all observations will be automatically set to 'not in journal'. If you want the actual assessments that you might have added to these observations to count towards your monitoring screens, then that is possible. All you need to do is go to control panel > settings > summative assessments > and then tick the box at the top that reads 'Include assessments from unapproved observations'. Do make sure to save the changes! From then on, assessments from unapproved observations will feed through to the monitoring screens, and you will still be making sure that relatives do not see these observations until you are ready to publish them. Would this work for you? Best wishes, Olaya
  4. The EYFS 2021 flags allow you to select areas from the new Development Matters in purple (1), and aspects from the Birth to 5 Matters guidance documents in gold (2). Anyone who takes out a new Tapestry subscription on or after the 27.09.21 will find that the Birth to Five Matters guidance is turned off by default when they go to enable the EYFS 2021 flag set, and can choose to enable it there and then. However, those of you who purchased your Tapestry account before 27.09.21 will have both the new Development Matters and Birth to 5 Matters guidance turned on. We aware that many of you are only using the new Development Matters curriculum guidance and would prefer not to see the Birth to 5 Matters aspect flags or reference material. It is also possible that you have changed your mind regarding the Birth to 5 Matters guidance, and would like to enable it or disable it. This tutorial will show you how to enable and disable the Birth to 5 Matters guidance, which will determine whether the Birth to Five Matters flags and reference materials appear when you create posts. For this, navigate to your profile's drop down menu (1) > Control Panel (2) > Settings (3) > Flags (4). Once here, select EYFS 2021 (5). Click or tap on 'Configure' by the EYFS 2021 flag set. This will trigger a pop up box, which will allow you to tick or untick the 'Include Birth to 5 Matters aspects' option, depending on whether you want this on or off. Do remember to save if you make any changes. And that is all! You can change this option at any time. Go back to Main Tutorials Page
  5. Hi all! The new EYFS became statutory in September 2021 and here at Tapestry, we support the way the EYFS is changing, moving away from data-centred assessment and towards a child-centred approach. Here is a little snippet of how the EYFS 2021 has been added to Tapestry and what it looks like. N.B. Please note that the new EYFS will not automatically appear on your account and the old EYFS framework will not automatically be hidden. To start using the new EYFS you will need to manually enable it on your account. Let me go into more detail on the changes we have made and what this means for you, your setting and your provision. These are the questions we will be answering in this post, you can click on the titles to jump straight to that section: How have you adapted Tapestry to respond to the EYFS changes? How can I start using the changes you've made? What’s the difference between the EYFS 2021 flags and the ELG assessment framework and flags? I want to use the Development Matters/Birth to 5 Matters guidance. How can I do that? Why can I still see the old aspects when using the EYFS 2021 flags? Can I use the flags on the apps? How can I monitor my children with the EYFS 2021 flags? How can I baseline my children? How can I show progress to the leadership and management team? Can I still use Tapestry to write reports? What should I do with the old EYFS framework? Further supporting resources How have you adapted Tapestry to respond to the EYFS changes? Following regular conversations with the authors of Development Matters and the Birth to 5 Matters guidance, we have implemented the new Flags system which reflects the ethos of these documents. No longer needing to assess each observation, staff can flag each observation or reflection with the appropriate areas of learning or aspects. These flags will feed the new Areas of Concern screen, which collects all the flags for each child, and together with accompanying reference materials from the Development Matters and Birth to 5 Matters documents, helps educators to quickly identify children who may need support to access the provision provided. We have also developed the Thoroughness screen, which shows you how many of each child’s observations and reflections have been flagged with each of the EYFS 2021 flags. You can read more about these screens further down. How can I start using the changes you've made? A manager can enable the EYFS 2021 flags by logging in to their account through the browser version of Tapestry, then accessing Control Panel > Settings > Flags. You can enable all the available flags in bulk or click on ‘configure’ by those you wish to use. Here's a tutorial just in case! When you turn the EYFS 2021 flagset on, you will also turn the corresponding monitoring screens, the dedicated report template and all the reference materials for both observations and reflections on. More on this further down. Watch Olaya enable the flags on their account. Once you have enabled the new guidance, you may notice it looks slightly different. Instead of selecting an area, then age band and then ticking off statements within that age band, you now only have the option to select the 'flag' that relates to that area of learning. You will also notice a section for reference material. This updates depending on the areas that you have selected, and if you have already selected a child, the age of the child will also determine which reference material you see first. Here you can see Ben using the EYFS 2021 flags when adding an observation. What’s the difference between the EYFS 2021 flags and the ELG assessment framework and flags? The key thing to know is that these have been designed to be used at different points in the year. The EYFS 2021 flags should be used throughout the year to flag observations as being about a specific Development Matters area and/or Birth to 5 Matters aspect. These flags will feed the new Areas of Concern screen, which collects all the flags for each child, and together with accompanying reference materials from the Development Matters and Birth to 5 Matters documents, helps educators to quickly identify children who may need support to access the provision provided. The ELGs are an assessment point at the end of the Reception year and should only be used then. The authors of the above guidance were very clear that settings should not be using the ELGs throughout the year, so the guidance materials that appear when using the EYFS 2021 flags do not lead directly into the ELGs. You can still enable and use the ELG 2021 flags(in the same way as you enable the EYFS 2021 flagset) and you will be able to flag observations with each of the ELGs. This should really only be carried out towards the end of the reception year, in preparation for completion of the EYFSP, and not used as a monitoring tool throughout the reception year. Controlling which assessment frameworks are enabled on your account I want to use the Development Matters/Birth to 5 Matters guidance. How can I do that? The EYFS 2021 flags expand to include the additional aspects used in Birth to 5 Matters. They are nested into the original flag set to show which area they relate to. You can access and select them by clicking on the ‘plus’ button next to the original flags. If you are following the Development Matters guidance you can do so by selecting the top level flags, those coloured purple. If you are following the Birth to 5 Matters guidance, you can do so by selecting the nested flags coloured mustard. Please note that anyone who takes out a new Tapestry subscription on or after the 27.09.21 will find that the Birth to Five Matters guidance is turned off by default when they go to enable the EYFS 2021 flag set, and can choose to enable it there and then. However, those of you who purchased your Tapestry account before 27.09.21 will have both the new Development Matters and Birth to 5 Matters guidance turned on. We are aware that many of you are only using the new Development Matters curriculum guidance and would prefer not to see the Birth to 5 Matters aspect flags or reference material. It is also possible that you have changed your mind regarding the Birth to 5 Matters guidance, and would like to enable it or disable it. This tutorial explains how to do this. When creating a post, you can select as many EYFS 2021 flags as you like, you’re not limited to only the nested ones or only the top level ones. The reference material will update depending on which flags you have selected. For example, if you select a nested flag (Birth to 5 Matters), the reference materials will update to show you the Birth to 5 Matters guidance at the top. Why can I still see the old aspects when using the EYFS 2021 flags? You might have noticed that PD still includes “Moving and Handling” and “Health and Self Care” and it doesn’t show “Gross Motor Skills” and “Fine Motor Skills”. Please note that the EYFS 2021 flags allows you to select areas from the new Development Matters; these are the seven areas of learning we are all familiar with. The aspects within those areas are from the Birth to 5 Matters guidance document. These are not related to the new ELGs from the updated EYFS Framework. Some of the Birth to 5 Matters aspect titles just happen to be the same as the headings of the old ELGs. The authors of the above guidance were very clear that settings should not be using the ELGs throughout the year and that they are just an assessment point at the end of the Reception year. If you were looking for the ELG flags, they are there under the ELG 2021 flag set. However, if you plan on completing your EYFSP on Tapestry this year, you may benefit more from using the ELG 2021 assessment framework as it will then feed to the dedicated EYFSP screen on Tapestry. You can enabled that by going to Control Panel > Settings > Assessments > ELG 2021. Can I use the flags on the apps? The EYFS 2021 flags are available from the most recent versions of the Android (4.0.3) and iOS (4.3.0) apps. Please make sure that your apps are up to date in order to access the flags. Do note that the reference material will not appear when selecting flags from the app. Selecting the EYFS 2021 flags on Android. Selecting the EYFS 2021 flags on iOS. How can I monitor my children with the EYFS 2021 flags? There are three monitoring screens for the EYFS 2021 framework: · The Areas of Concern (Guided view) · The Areas of Concern (Group view) Watch Ben and Jack discuss the practical implementation and approach of the Areas of Concern screen, which will support your planning. · The Thoroughness screens We strongly support the idea that practitioners do not need to make lots and lots of observations and we do not expect educators to try and reach a certain number in each aspect. We do still think that having a screen like this is beneficial to educators, as it will: Help you to quickly identify any disparities in the amount of observations and reflections made in each area. Encourage you to consider whether your curriculum contains rich experiences tailored to your children. Encourage you to consider whether your staff might lack confidence in those areas and therefore highlight a need for CPD How can I baseline my children? We won't be creating a specific baseline screen for the new EYFS. This is because the new Areas of Concern screen we have released, can also fulfil this purpose, as, after getting to know your children, you will be able to make a more informed decision on if they can access your current provision and this could act as your "baseline". We would strongly recommend watching this video where we chat to the author of Development Matters - Julian Grenier - and a representative from Ofsted, about how to baseline using the new Development Matters. How can I show progress to the leadership and management team? The introduction of the revised EYFS Framework has offered practitioners a chance to move away from tracking children through age bands, and instead focus on the needs of the children so that appropriate support can be given as quickly as possible. This may not offer your SLT the tracking they are used to, but we hope that the screens will provide them with enough detail to see where support is needed and to ask about how planning has been adapted to fit those needs. For those that are looking for progress data, it is our view that progress will be shown by the group of children recorded as 'Concerns' decreasing as the support provided has an impact on their development. It will also be shown by the group of 'No concerns' growing over this time for the same reasons. Can I still use Tapestry to write reports? We have two new report templates for the new EYFS, a generic one and one for 2 year checks. Creating an EYFS 2021 Report Creating a EYFS 2021 Two Year Check Report These are very similar to the existing EYFS report template but it does not have the age band and refinement assessment information, leaving only free text boxes for notes and next steps for each area of learning. The ‘Child’, ‘Details’, ‘CoEL’, ‘Additional Information’, ‘Child Voice’, ‘Relative Contribution’, ‘Signature’, and ‘Media’ sections all remain. It will automatically appear in your list of available templates as long as you have the ‘EYFS 2021’ flags enabled. What should I do with the old EYFS framework? Just as the new EYFS will not automatically appear on your account, the old EYFS framework will not automatically be hidden either. If you wish to hide it, you will be able to do so from Control Panel > Settings > Assessments. Once here, click on 'Configure' by Early Years Foundation Stage and untick all options. Do remember to 'Submit' to save your changes. This will hide the old EYFS framework when you add observations. It will also hide any old EYFS assessments added to existing observations. If you still wish to use these as reference points, then we would recommend that you keep the old EYFS enabled, and disable it once all the children that were once assessed against the old EYFS have left. Further supporting resources On episode 89 of the Foundation Stage Forum podcast, Dr Helen Edwards, co-founder of Tapestry, speaks with HMI Phil Minns and HMI Wendy Ratcliff. With the revised EYFS becoming statutory from September 2021, we wanted to clarify some questions raised in the Early Years community around curriculum design and documentation, observations and monitoring, and what inspectors are likely to focus on. We also discussed progression skills and how we can ensure all children make good progress in their learning and development. Listen here or wherever you get your podcasts. Episodes 62, 57, 56, 51 and 38 of the podcast also discuss the revised EYFS. On 19.05.21 Ben and Stephen ran a webinar on Tapestry and the new EYFS framework. On 09.09.21 Ben ran another webinar on Tapestry and EYFS 2021 focused on using Tapestry with the new EYFS 2021 flags. After the webinar, Ben compiled all the FAQs, which you can find here. We also have a dedicated YouTube playlist for all things EYFS 2021. Ben, from the Education Team, has written the article EYFS 2021 and Tapestry. New EYFS Framework: a Guide for Relatives. Our Education team have also created some slides to support our customers who will be implementing changes to their assessment systems based on the new guidance documents.
  6. Hi Debs17 and Mouseketeer, First of all; welcome to the forum, Debs17! At the moment it is not possible to schedule comments, but we absolutely understand your point. I can see that this has been raised by other settings as well, so I have registered your interest in this future so it can be discussed in the next product development meeting. The more something is requested the likelier it is we'll get working on it Thanks again! Best wishes, Olaya
  7. Hi JacquiShadrake, One thing you can do is disable commenting on memos. This will stop relatives from adding comments whenever you send your newsletter, so relatives cannot see each others' names and surnames. To do this, go to control panel > user permissions > relatives > memos. Then, click on 'edit' by the 'comment on visible memos' option and change the default to 'not permitted'. Do remember to save! From that point forward, relatives will be able to read your memos and download any documents you attach to them, but will not be able to comment on these and, therefore, will not be able to see what other relatives have access to the memo. I hope this was helpful! Best wishes, Olaya
  8. Hi JacquiShadrake! I think that the tagging system would really work for you in this case. With the tagging system you’ll be able to tag key words by putting a hashtag (#) in front of the word you’d like to label in any observation. This feature will allow you to create an additional category of your choice, which you and your families will then be able to use to sort through observations. For example, whenever you upload an observation/memo/activity that you'd like to group under Story Time, you'd add #storytime at the end of the notes. Then, relatives can use this tagged word to quickly find all the other posts also tagged with #storytime. This is a relative's filter view from the browser (they can also use filters when logged in via the app): And this will quickly bring up all the, in this case, observations that have been tagged under #storytime: You can learn more about tagging here. I hope this was helpful! Best wishes, Olaya
  9. Hi Alice87, Indeed, as Mousketeer says, you can set your staff up so they each have their own personal login details. This will stop them from having to log in to the manager account first, which, as you have experiences, comes with the risk of staff using the manager account instead. To change your staff members' account type from PIN only to Full Staff, you'll need to go to control panel > manage staff > and then click on 'edit' by the staff you want to amend. Once here, click on the 'type' drop down menu at the very top, and change this from PIN only to Full Staff. This will then enable a section for you to type in their email address. This is the email address that they will use to log in. If your staff don't have a setting email address, then they will need to agree to use their personal ones. Once you have registered the email address, you will also need to assign them with a random password and then save. We also explain this here. Now that they are full staff members, and to regain access to Tapestry, they'll need to request a reset password email by: 1. Going to https://tapestryjournal.com/ 2. Clicking "Having trouble logging in?" 3. Clicking the link in the "I've forgotten my password" section 4. Entering the email address that they have been set up with, and clicking "submit" 5. Checking their email (they may have to look in their spam/junk mail) - the email will be called "Tapestry Password Reset" 6. Clicking the link in the "Instructions" section of the email 7. Filling in a new password and PIN on the form and clicking "Submit" Alternatively, and if you made a note of the random password you set them up with, they will be able to log in to Tapestry and then go to their edit preferences section to change the password to something more memorable. I hope this was helpful! Best wishes, Olaya
  10. Hi Claire_Stemp, No worries at all Indeed, it is not possible to pick and choose which observations allow comments and which don't. We will keep your suggestion in mind for future development, though! Do let us know if there's anything else we can do for you. Best wishes, Olaya
  11. Hi Claire_Stemp, Thank you for your query! I am afraid it is not possible to review and approve a comment before it gets published, but there is a user permission that will allow you to determine whether parents can comment on group observations or not. You can find this by going to control panel > user permissions > relatives > observations. Here, you'll see a permission titled 'Comment on group observations'. To remove the permission, click on 'edit' and then select the default setting to be 'not permitted'. Make sure you save when you are done! From that point forward, relatives will not be able to comment on any group observations. I hope this was helpful! Best wishes, Olaya
  12. No worries at all, Rob! We will let you know if anything changes Best wishes, Olaya
  13. Hi Rob, Thank you for getting in touch with us and for your lovely words! Although at the moment it is not possible to record existing injuries, accidents that might have happened outside of the setting, and specific medication children might be taking, all three are very good points and they are all under discussion for future feature development. I have registered your interest in all three and we will let you know when anything changes In the meantime, you can: Record existing medication on the children's About Me page. Create accident forms for existing injuries and accidents that have happened outside the setting as if you were to add a regular accident form. Within the 'additional information' box you can indicate this is an existing injury or an accident that happened before the child came into the setting's premises. Would these workarounds work for you? Best wishes, Olaya
  14. Hi Cheryl, You are so very welcome! I am afraid that there isn't a separate template without any of the assessment sections. I will pass on your feedback to the rest of the team, though, and we will let you know if anything changes. Best wishes, Olaya
  15. Hi Cheryl, Thank you for getting in touch with us! Based on what you are telling us I believe that there are three places that you can record all of these conversations: You can create an observation called 'Child Name Conversation Report'. You can leave this observation as 'Not in journal' so the relative cannot see it until the end of the year, when you can publish it. You can ignore the assessments section entirely, there's no need to add assessments to an observation. You can then come back to this same observation whenever you have a conversation with the relative and make a record of it by editing it and making sure that you also record the day and time of each conversation. So you might have '16 September 2020' followed by the conversation had that day, and then underneath you might edit it to add '25 October 2020' and your conversation then. At the end of the academic year you will be able to publish the observation and have it exported within the child's journal. You can do the same as above but via a Memo. The thing with memos, however, is that they are not added to the children's journals, so at the end of the academic year you'd need to export this separately to provide the relative with a copy. You can create an actual report from the Reports section across the top. If you don't want to include any assessments, you can simply click on 'Hide Section' at the top right hand side corner of the Assessments section to remove this section from the report entirely. You can then just use the rest of the sections as you wish, hiding any you do not need. Reports can be added to the child's journal at the end of the year, so that's quite handy! I hope this was helpfu, but do let me know if you have any questions about this! Best wishes, Olaya
  16. Hi Weavers, As we approach a new academic year, there is still so much uncertainty for schools and early years settings. One thing we can be sure of is that there will be new challenges to face. Ben, from our education team, has written a helpful article focused specifically on supporting children as they transition from Reception to Year 1. You can read it here to find some thoughtful tips. We will continue to create resources to support you throughout the year, whatever challenges it brings. Now let’s have a look at all the news and updates from Tapestry this month. Videos During the summer, we’ve been busy recording loads of video tutorials for both existing and new Tapestry users. They’ll help you set up your account ready for the new academic year. You can find them all on our Tapestry YouTube channel. We will continue to create more video tutorials, so do make sure to subscribe to our channel so you can see all our new videos as and when we add them. Tapestry Encyclopedia If you’re looking for assistance with a particular aspect or topic on Tapestry, such as setting up parents/relatives, take a look at our Tapestry Encyclopedia. We have divided all our Tapestry resources into chapters to help you find exactly what you are looking for. Please note, to access some of the resources, such as downloadable PowerPoints, you will need to be logged in to a Foundation Stage Forum account. A subscription to the FSF is included with every Tapestry package. Managers and full members of staff can also set up their own FSF account with their Tapestry login details. This tutorial will talk you through how to register on the forum. Articles Here on our information site we regularly add articles on a range of topics, written by a variety of authors including members of our own education team. Article topics include supporting parental engagement and the different ways to submit reading records to Tapestry. Read them all online here. Reminders Support during September As September is our busiest time of the year (as we know it is for most of you too!), our response time to support tickets may be slightly longer than usual. We always aim to answer queries as quickly as possible, so rest assured we will reply to you as soon as we can. To speed up how quickly we are able to assist you, please make sure that you contact us from a registered manager’s or staff’s email address, especially if the query relates to your account. If you have a finance or subscription question, please include your most recent invoice number if possible. Training sessions in September We know many of you are just starting out with Tapestry or are looking for ways to get the most out of it for the new academic year, so this year Lauren is around to deliver training sessions throughout September. Unfortunately, we can’t offer to come out to your school/setting, but she is very happy to do remote sessions. These cost £36 (including VAT) per 30 minutes, can last up to an hour, be for as many people from the same school/setting as you like, and can cover whatever you want! We also have loads of free written and video tutorials, though, so you might find those are the best way to help you get going – you will find them on the Foundation Stage Forum website and our Tapestry YouTube channel. If training is the way you’d like to go, however, please email customer.service@eyfs.info with: A list of what you’d like to cover in the session. Whether you are looking for help using Tapestry in KS1/KS2, EYFS, or SEND (or a mix). A couple of dates and times that you could do (Monday – Friday starting at any time 9.30am – 4pm). Whether you would like a 30 minute session or 1 hour session. Slots are limited but we’ll do our best to fit you in for your preferred date. If we can’t find a date in September we will be able to book you in for later in the term. Other members of the team will start offering training sessions from October the 19th as well, so there will be a lot more availability then. Payment for invoices We’d like to remind anyone who will be paying for the renewal of their account soon by BACS that our bank details changed last year. Your invoice will include the correct details, so please do double check these, just in case. Also, if you pay by bank transfer, make sure to include your invoice number in the payment reference, send a remittance advice to bacs@eyfs.info and allow 5-7 working days for the payment to be processed. This tutorial will talk you through the different ways you can arrange payment for an invoice. If you have any questions about your invoice or making a payment, you can contact us, quoting your invoice number, by emailing customer.service@eyfs.info.
  17. Hi twinthinguk and Chughes, All very good suggestions! The more users ask for this feature - including the 'read' option in the Care Diary - the higher priority level they'll get Best wishes, Olaya
  18. Hi Catherine and jeaniedodsley, Our colleague Jack recently wrote an article exploring three different ways of recording readings on Tapestry with the tools currently available. You can read it here. I hope you find it helpful! Best wishes, Olaya
  19. Hi jeaninedodsley and Lilliputianplay, Thank you so much for your suggestion! This is something other setting's have requested as well, so we are currently looking into it. We will keep you in the loop of its development Best wishes, Olaya
  20. Hi EYFSWPNY, Congratulations on your first post!! We have recently added the option to make use of the Accidents and Comments section without having to enable the entire Care Diary. Would this be more suitable for you? Just in case, I am leaving some tutorials below (this is to enable Accidents and Comments out of the Care Diary): How to enable the Accidents Feature Adding an Accident Form from the Accidents Feature Using the Comments Tool in the Accidents Feature I am afraid, however, that if you want to access the 'Meals' section, for example, you'd need to enable the full Care Diary and then ignore those sections that you wouldn't need. We've had some other settings requesting similar things, so we are looking into making the sections within the Care Diary optional, but no decision has been made yet. The more people request it, though, the more likely it will be that we tackle that next! Best wishes, Olaya
  21. Hi WoodsidePrimary, Thank you for getting in touch with us! Certainly, there's a couple of things you can do for this: You can assign the children in your class as your key children by going to control panel > manage staff > manage key children (a green button on the top right hand side of the staff list). You will then be able to assign your class as your key children. Once you have done this, then you have two more options: You can change your default page filters to only showing you your key children. This means that, wherever you go, by default you will only see your key children. If you needed to access other children you'd need to change the filters to set the 'key person' field to 'any' as it will be set to you by default. You can do this by clicking on your profile's drop down menu on the top right hand side corner > edit preferences > change key children preferences > ticking the only box available here > save. You can leave your page filters to accessing all children, and whenever you want to check your key children only you can click on the filter & sort bar and change the 'key person' field from 'any' to you. Alternatively, if you don't want to assign yourself with key children then you can simply create a group from control panel > manage groups. You can then add your children to this group, and whenever you want to filter by your key children you'll be able to access the filter & sort bar and select your group from the 'group' field. I hope this was helpful, but do let me know if you have any queries our doubts about this! Best wishes, Olaya
  22. This tutorial will take you through how to use the Comments Tool available in the Accidents feature. After you have enabled the Accidents feature via your Control Panel, this other tutorial here talk you through how to do this, you can use the comments tool to communicate with relatives. It will allow you to send messages to them and for them to send messages to you. Please note that the Accidents feature is only available on the browser version of Tapestry and not the app. If you want to use the Accidents feature on a tablet/phone device, you'll need to do this through a browser on there. Adding a comment Relative view of the Comments tool Staff view of the Comments tool Deleted Comments and Likes We'll start by looking at how you can add a comment using the Care Diary Comments tool Adding a comment It's only possible to send individual comments to relatives using the Comments tool on the Accidents feature. To send a comment to relatives on Tapestry you will need to go to the Accidents tab at the top of the page (1), then find the child of the relatives you want to send the message to and click on the speech bubble icon in their profile card (2). On the next screen you will be able to type your message in the 'Comments' field (1). If you click on the down arrow for the 'Entries' section, this will bring up any and all of the accident forms that have been added for this child on this the last seven days (2). Once you have written your message you just need to click on the paper air plane icon to send the message (3). Once it has been sent, your screen will appear as below where you will be able to reply to your own comment, like or delete it as required. Relative view of the Comments tool If you have it set up so relatives can receive notifications on Tapestry, this tutorial will help you check this, after you send them a comment and they login, they will be able to see a notification for this from the bell icon at the top of the page. They may also receive an email notification but this will depend on their individual notification settings. After clicking on the notification, they will be taken into the Care Diary where they will be able to see the message you have sent. Underneath the name of the author of the message they can like the message as well as reply directly to it (1). Once they click on the 'Reply' button this will present the relative with a new field where they can enter their reply (2). Once they've written their reply they can click on the paper air plane icon to send it (3). If they use the 'Comment' field (4) this will start a new comment thread. If the relative logs into their account and would like to send a direct message/comment to the setting (instead of replying to a comment that has been sent to them as above), they will see the screen below. Staff view of the Comments tool After a relative has sent a comment from their account, when a staff member accesses the Care Diary they will see the speech bubble icon for that child showing them there is a new message. Clicking on this icon will take you back into the comments section where you can see the new message from the relative (1) and allow you to reply to it (2). Deleted Comments and Likes As well as the option to reply to a comment, you also have the options to like a comment or delete it (1). If a comment has been liked, the wording will change from 'Like' to 'Liked' (2) and if you hover over the thumbs up icon, you will be able to see who liked the comment. If a comment has been deleted, it will be replaced with the text [Comment Deleted] (3). Please note only staff can delete comments made by themselves and relatives. Relatives can only delete their own comments. Back to Main Tutorials Page
  23. Please note that this tutorial covers how to add an accident form through the Accident section when this is outside of the Care Diary. To learn how to add an accident form from the Care Diary go to this tutorial here. If you haven't enabled the Accidents feature and wish to start using it, check this other tutorial out first. To add an accident form, all you need to do is navigate to the Accidents section on the top blue menu. Once here, click on the first aid kit icon (1) on the corresponding child's panel. You can use the filter & sort bar (2) to filter by specific children, groups, etc. This is what the accident form will look like: (1) You can change the date if the accident form is for an accident that happened in the past. (2) This is the time of the accident. You can change the time by using the blue arrows up and down. (3) Here you will be able to explain what happened. (4) This section allows you to detail the first aid that was administered. (5) You will need to select which staff member administered the firs aid.ç (6) Add any extra information here. (7) Create the accident form. Please note that all accident forms added by staff members will require manager approval before they can be signed off. Accident forms added by managers are approved automatically. You can see in the screenshot below an accident requiring approval (1) and one ready to be discussed with the relative after it has been approved (2). To approve an accident form, click on the accident you'd like to review. You can then download a PDF (1) in case you wish to take a hard copy signature and also approve the accident (2). If you need to make any edits - or delete the accident form -, you will need to return to the main Accident panel. Once here, make sure that you are viewing the day the accident that needs editing was made. You can check the date on the accident notes at the top (1), and, if required, you will be able to navigate to the correct date by clicking on the calendar (2) and choosing accordingly. Once on the correct day, click on the i icon (3) to access that child's overview for that day. Select the tick box (1) for the accident form you'd like to edit/delete to trigger the edit/delete buttons (2). Once you are ready to mark an accident as discussed, click on the corresponding accident on your main Accident view. You will then be taken to the following page which outlines the details of the accident/incident. Here you can either download a PDF of this form to print and ask the relative to date and sign in person (1) or you can mark it as discussed (2) if you are going to take the signature digitally directly onto your device. You will need to select to mark it as discussed if you are planning on taking a digital signature, but also once you have had the relative sign the hard copy off. After clicking on mark as discussed at the top of the pop-up box that will appear you will see the names of any relatives of the child that have been given parental responsibility on Tapestry and a note informing you that they will be notified once you select one of the below options (1). You can then take a signature for this either from a hard copy (2) or as a digital signature (3). If you select the 'Hardcopy will be signed' option you will then be presented with a box where you can enter the name of the person that's signed the form off. After entering the name and clicking 'Submit' you can ask the signee to sign the copy of the form you have already downloaded from the previous screen. If you select 'Digital signature will be taken' you will be presented with two boxes, one to enter the signee's name (1) and another to take their digital signature (2). Once you have either selected to take a hard copy or you have collected a digital signature, you just need to click on 'Submit' (3). You will then presented with this screen, including the digital signature for you to download and keep for your records. If you need to bulk export accident forms for safekeeping, please take a look at this tutorial here. Go back to Main Tutorials Page
  24. Please note that the Accidents section can be accessed both via the Care Diary or through its own section. This tutorial goes over how to enable and use the Accidents feature outside the Care Diary. If you are using the Care Diary and would like to learn how to use the accidents section within it, please visit this tutorial here. If you'd like to start using the Care Diary, this other tutorial explains how you can enable it. Also bear in mind that when enabling the Accidents feature you will also have access to the Comments tool. You can learn more about this here. To enable the Accidents feature, you will need to first log in to the browser version of Tapestry (www.tapestryjournal.com) as a manager. Once in your account, click on your profile's drop-down menu on the top-right hand side corner (1) and then go to Control Panel (2) > Features (3). Once in Features, you will find the Accidents feature at the very top. By default, this will be red, indicating it is not enabled on your account yet. To enable it, click on the green enable button to its right. You will see that the Accidents section now features on your top menu. Once enabled, the heading in the Features section appears green, and you will find a shortcut to quickly access the Accident Settings (1) and the Relative Permissions (2) concerning the feature. please note the Relative Permissions option will not appear if Accidents are not enabled for relative, on your Accident settings. When accessing the Accident Settings section you will be able to decide whether you share this feature with relatives or not (1). Note that the accident settings section is shared with the Care Diary settings section, so if you select the first option - enable for use - you will be enabling the whole Care Diary. If you make any changes, remember to Save (2). You can review the settings at any time from Control Panel (1) > Settings (2) > Care Diary (3) > as well as from the Features section. If you access the Relative Permissions section, you will be able to review what relatives can or cannot do regarding an accident. If you wish to change any of the permissions from permitted to not permitted, or vice versa, click on edit (1) by the corresponding permission. You will then be able to change the default for all (2) or apply different permissions to different users (3). Remember to Save (4) any changes. Learn more about relative permissions here. Likewise, you can review the permissions at any point directly from the Features section, or by going to Control Panel (1) > User Permissions (2) > Relatives (3) > Accidents (4). This is how you can enable the Accidents feature outside the Care Diary feature, which might not be applicable for your setting! Once enabled, you can start adding accident forms - learn how to do this here. Go back to Main Tutorials Page
