Update to the Management System We are happy to announce another big update to our management system. For the full details on all the changes, please check this post. The main changes include: The introduction of ‘Account Balances’ for each child and the ability to allocate part and full payments Children now have a new ‘Finance’ tab making it easier for you to see a child’s invoices and transactions You can now add a name and billing address to invoices Changes to invoice statuses, including a new ‘Part Paid’ one You can now set funding to any number of minutes instead of only intervals of 15 minutes You can export a CSV file of invoice data from the export screen A new Extra Charges screen in the Rooms section which makes it easier to see what Extra Charges have been used on each day We really hope these improvements help you get more out of the management system. You can access the resources from this link. Resources to support and champion wellbeing Early Years Wellbeing Week took place at the beginning of October. In recognition of this important week to reflect on and engage with educator wellbeing, founder Kate Moxley has created a new free resource: Championing Wellbeing, a Toolkit for Early Years Educators. The toolkit, which can be downloaded here, is designed to help guide practitioners in reflecting, evaluating and building their own bank of practical ideas for promoting compassion resilience. It includes information on how to promote wellbeing in your setting, support wellness action planning, promote professional dialogue around wellbeing and much more. Professor Eunice Lumsden and Warda Farah joined Kate, along with Jules and Stephen from the Tapestry education team, in a special edition of our podcast for Early Years Wellbeing Week. Their discussion centered on an intersectional approach to cultivating wellbeing, and you can listen to it here, or wherever you get your podcasts. This is a good moment to remind you of the Beginner's Guides written by Warda and Kate, and of the Mandela Model Workbook written by Eunice - you can download them from the links below: A Beginner's Guide to Intersectionality in the Early Years by Warda Farah A Beginner's Guide to Educator Wellbeing by Kate Moxley The Mandela Model Workbook by Professor Eunice Lumsden Important Information About Security and Safeguarding on Tapestry Whenever you're adding relatives to your Tapestry account, we recommend taking the following security and safeguarding precautions as you do so. And if you've already added lots of parents, it is still worth checking through this list: Have you double checked your relatives’ email addresses to ensure they are correct? It’s important to ensure these are correct because if an email is entered incorrectly and belongs to someone else, they could gain access to the Tapestry account by resetting the password. When considering the security and safeguarding around your Tapestry account it’s also worth thinking about your passwords. Tapestry accounts are only as secure as the passwords that protect them. It’s important to never share your Tapestry password with anyone else and to ensure your password is as strong as possible. You can read current government advice about password setting here. If you are the only person using a device to access Tapestry and the device supports Face ID or fingerprint unlocking we would recommend enabling these for the Tapestry app (this will make it quicker and easier for you to login as well!). Have you checked how your User Permissions are set on your account? These control what non-manager staff and relatives can do and see on an account so it’s worth ensuring these are set up appropriately for your setting. Once you’ve checked these you may also want to set up a fake parent account for yourself and login to this so you are clear what parents can see from their end. It’s also worth taking the time to check what users you have set up on your account. If you still have staff, parents or children on your account who no longer need to be there, we would recommend deleting them to ensure you are in line with your data retention policy. Are relatives linked to the correct children? Children and relatives have to be manually linked together on Tapestry in order for parents to be able to see entries on Tapestry for their child/ren. When you do this it’s important to ensure the correct children are linked to the correct relatives otherwise parents will be able to see entries for other children. This tutorial talks you through how to link parents to children. A Quick Note on Some Recent Changes to Amazon Fires It appears that Amazon have issued an update to their Gallery/Camera software which prevents users from uploading multiple bits of media at the same time. As this is something Amazon have changed themselves, regrettably it's not something we're able to control. However, if you use the Tapestry app to upload observations you can still select multiple items of media if you choose to select media from the 'Camera' folder.

Best wishes, The Tapestry Team Several key updates to our Management System We are excited to announce more functionality for our management system. For full details on all the changes we’ve made this month, please take a look at this post. There are two main updates. First is the addition of “Extra Charges” (sometimes referred to as ‘consumables’) which allows you to add a charge for anything you want to a child’s schedule or on an ad-hoc basis. This is great for regularly charging for meals, nappies etc or for one-off charges like trips. Secondly, you can now assign ‘Bill Payers’ and send invoices directly to relatives from Tapestry. After you’ve chosen the relatives responsible for paying invoices for each child, you can send them a copy of the invoice with the click of a button. Other updates include new filter and configuration options for invoices, pre-populating new regular schedules for quicker set-up, and other quality-of-life tweaks. New courses and guides to support your CPD We have two new CPD courses and another “beginner’s guide” this month. Emily who heads our Product Support team, and Ben from our Education Team, have combined their knowledge and experience to bring you “Parental Engagement” on Tapestry CPD. This course focuses on strategies for involving parents in their child's learning journal. Access the full course here. Meanwhile, Alexandra from our Product Support team has created “The Care Diary on Tapestry”, which covers everything you need to know about using the Care Diary. Access the full course here. The collection of free beginner's guide resources continues to grow, and this month child psychologist Siya Mngaza has written “The Beginner’s Guide to Belonging”. Hi! Thanks for getting in touch; I'd be happy to help. First of all, if you haven't found this already, I'd definitely recommend this tutorial as it covers a lot of info about MAPs To answer your questions, yes you do need to set MAPs for each child each year, as each framework has a different MAP screen under Tracking Yes, your child's MAP can be calculated from the summative assessment scores, but it can't be automatically transferred over. As above, you'll need to manually set it each year. As for your last question, you can use multiple different assessment frameworks with the same child so you could use the Y3 framework for observations in Spoken language for example. But this might make the tracking side confusing as you'd need to be looking at the Y3 screen for spoken language but the Y4 screens for everything else. Personally what I would do is have one of my tiers as "working towards" or something similar and use this for their Y4 summative assessments in Spoken Language as, even though they are working at a year 3 level, they are still working towards year 4. Also if they Year 4 MAP for spoken language is "working towards" then they are still achieving that. Alternatively, you could have a tier which is "working below" to signify this. In this tutorial we are going to look at how to send an invoice through Tapestry. Before we begin please note, in order to send an invoice a child needs to have bill payers set. For information on how to set a child's bill payers, please refer to this tutorial. Invoices are sent to relatives through Tapestry via email and internal notifications. The email is sent as soon as you send an invoice to a child's bill payers and is sent regardless of whether relatives are permitted to receive notifications through your Tapestry account or not. There are two places within the Tapestry Booking feature where you can send invoices: from the individual child's 'Invoices' tab and from the main 'Invoices' page. You can use the below links if you want to skip to a specific section: 1) From the individual child's 'Invoices' tab 2) From the main 'Invoices' page I'll start by going through how to do this from a child's Invoices page. Sending an invoice through the child's page First click Booking on the top task bar (1) and select 'Children' from the left-hand menu (2). Then click on the child you want to send the invoice for (3) and navigate to their 'Finance' tab (4). To just view the child's invoices, click the 'Invoices' tab (5). Here you will see all the invoices for this child. If you have no invoices, you can create one by clicking the '+ New' button (1). If there is an invoice on the list, you can send it - among other actions - by clicking the cog menu (2) and then selecting 'Send Invoice' (3). You'll now see confirmation that the invoice has been sent (1) and the status of your invoice will have changed to 'Sent' (2). As mentioned at the start, this invoice will be sent to the child's bill payer/s via email. Sending an invoice through the main Invoices page To get to the main invoices page click 'Booking' from the top task bar (1), select the 'Finance' tab from the left-hand menu (2) and then 'Invoices' (3). This page shows you all the invoices for all the children on your account. Similarly to the previous method, to send an invoice just click the cog menu next to the invoice you wish to send (1) and click "Send Invoice (2). And that's how you send invoices using Tapestry. If you want to check whether an invoice has been sent, if you click on the invoice at the bottom you will see a 'History' section. There you will be able to see if the invoice has been sent to a bill payer (1) and the date/time this happened (2). In this tutorial we're going to look at how to assign "Bill Payers" to your children. Bill payers are the relatives that receive copies of invoices via email when you send them through Tapestry. Any other relatives linked to a child who are not set up as bill payers will not receive copies of invoices. Please note, in order to assign bill payers, relatives and children will need to be linked on your account. If you haven't done this yet, this tutorial talks you through how. There are a few ways you can set a child's bill payers. I'll firstly show you how to do this from the child's 'Invoices' tab. Let's look at how to get there. First click 'Booking' on the top task bar (1), and select 'Children' from the left-hand menu (2). You'll then need to click on the child you want to set the bill payers for (3) and then navigate to their 'Finance' tab (4). On this screen, you will see a list of all the transactions for this child. On the right-hand side you can also see their account balance, billing address and you can assign bill payers. Click on the pencil button to add or edit a child's bill payers. After clicking on this button, a pop up box will appear listing all the relatives linked to the child. Select which relatives you want to assign as bill payers using the tick boxes down the right-hand side (1) and then click 'Confirm' (2). If no relatives have been linked to the child, you will see a warning message about this and asking you to click on the button 'manage relatives'. You should now see confirmation that your new bill payers have been saved (1). You can change this at any point by clicking on the pencil icon again (2). You can also assign bill payers to children from the Manage Relatives page on the Control Panel. You can access this page by clicking on your name in the top right-hand corner (1) and selecting 'Control Panel' from the drop-down (2). Once you are on the Control Panel you'll then need to select 'Manage Relatives' from the left-hand side (3). If you want to do this for just one parent you can find their name in the list and click on the 'Edit' button. Then scroll to the bottom of the page. In the 'Related Children' section you'll see any children linked to this parent. You then just need to tick the 'Bill Payer' box and 'Save' (2). If you need to do this for several relatives you may find it slightly quicker to go to the 'Manage Relationships' page. The button to access this can be found at the top of the Manage Relatives screen. Here you will see a list of all relatives and any children they are linked to. Click on the 'Manage Relationships' button for a relative to proceed. This will bring a pop-up box with a list of all the children on your account. Any children linked to this parent will have tick boxes for 'parental responsibility' and 'bill payer' underneath the child's name. You then just need to select the 'Bill Payer' tick box (1) and hit 'Save' (2). And that's how you assign bill payers to children! This tutorial will talk you through how you can then send invoices to bill payers. Back to Main Tutorials Page

In this tutorial, we’re going to be looking at the Invoice Data Export screen. This screen compiles data from the invoicing part of our Management System into a CSV file. There’s a few different options and formats which we’ll go through now. Firstly, to find this screen just click “Booking” (1) -> “Exports” (2) -> “Invoice Data Export” (3). Here you will see the data export screen; it has 3 sections you can use to customise what data is included on your CSV. The first section is the Date Range. By default this will be the month we’re currently in, but you can change the month simply by clicking it (1). You can also set your own custom date range by clicking the “Use Custom Date Range” button (2). The custom date range option allows you to choose any start and end date. The second section is Children. Here you can choose to export data for all children: Or for children in a specific room: And finally, for one specific child. The last section is Format. You have two options here; “Invoices” (1) and “Invoice Summary Lines” (2). The first option gives you one line per invoice on your CSV. It will show the following data for invoices within date range you have chosen, for the child(ren) you have chosen. Invoice number Invoice date Due date Period from Period to Child’s name Amount Invoice status Payment Status Notes It will look something like this: The second option, “Invoice Summary Lines”, will give you more detail on the specific charges within the invoice; it will show you the individual charges within the same invoice. For example, if an invoice has charges for Regular Schedule Bookings, Extra Charges, Extra Bookings or Refunds this will be shown on the Summary Line Item column. It will look something like this: Once you're happy with all the format options, just click "Generate CSV" at the bottom. So that’s how you export your invoice data. Hi, @Mouseketeer Yes, there is a similar situation with Android moving forward; as outlined in that tutorial: "We have ended support for Android 4.4 (Amazon Fire OS equivalent 3.1) and below. The last version of the Android app available on Android devices 4.4/Amazon Fire OS 3.1 and lower is 4.0.6. We will also soon be phasing out support for Android versions lower than 8 (Amazon Fire OS equivalent 7.3.2.2). Though future updates will be available on these devices, from the next app update we will not be able to support issues on devices with these Android or Amazon OS versions." I hope that helps :)

Hello @Mouseketeer! How have you been? With regards to your current Fires, you should still be able to add multiple pictures at the same time. Have you tried holding your finger down on one for a few seconds? That should select it and allow you to select others. As for new devices, I would definitely recommend reading this article first - The iPhone 6s you mention are only capable of having iOS 12 as the most recent one and we are no longer supporting the Tapestry app for iOS versions 14 and below. If you settle on some kind of Apple device, just check that it can support iOS 15 or above and you'll be able to get the most recent app updates. I hope that helps! :)

Both have been written by Speech and Language Therapist, education consultant and scholar activist Warda Farah. In her article, Warda explains Pathology of Agency, and reflects on the impact it has on children in the early years, as well as what we can do to combat it. Read the full article here. The Beginner's Guide to Intersectionality has been created by Warda to support childminders, nurseries and schools in having necessary conversations about intersectionality. Someone in my breakout room recounted a really nice experience they've had this year with a brand new teaching assistant. This person was brand new to education and to the early years. The practitioner in the group spoke so passionately about how it was a great thing they had no prior experience, how them coming in as a blank slate made it really easy to teach them what their high-quality provision looked like.
