Hi Weavers, December’s newsletter is reaching you slightly earlier this month in an effort to catch you before you all break up for your well-deserved holiday. We have made a few new additions to Tapestry, so please do read on for more details. Your Data You may have noticed an extra button appear when you click your username’s drop-down menu. It’s called ‘Your data’ and it’s there to help all of our users get more information about their rights relating to their data on Tapestry. Relatives, staff, and managers can all access this screen by clicking on their username when logged into the browser version of Tapestry. Children who are using Tapestry’s Child Login feature can access a child-friendly version of the ‘Your Data’ screen by clicking on their name in the top left. Select and delete media in bulk. When you are editing an observation via the browser version, you can now ‘select all’ the media in bulk and delete them in one go. You’ll be able to untick any that you didn’t want to select before you click the delete button, so this should save you time when you’re deleting all but one or two pieces of media from an observation. For example, when you’ve made a group observation and uploaded a picture of every child doing the activity, then split it so you only have to type up the text once, but you only want to have one child’s picture in each version of the observation. We hope this change will make your lives a bit easier! Memo Notifications This development will make things simpler for the relatives on your account. If you have set it up so relatives receive an email about a new memo that you’ve posted, they will now be able to see the contents of the ‘notes’ section of your memo within the email itself. Please note, if you have attached media to your memo, relatives will still need to log in to Tapestry to access that. Podcasts Our education team have been continuing to meet with some wonderful guests and recording their conversations for our weekly podcast. December’s lineup includes Jules and Stephen talking to Early Years consultant Leslie Patterson about the language of labels and how they impact children. Next up, Ben and Jules spoke with Head Teacher and Education Consultant Alison Kriel about wellbeing and the importance of belonging. And lastly for this month, Ben and Jules chat to Olivia Dicker, a Year 5 teacher, about how they are using the Child Login feature to support independent learning, foster parental engagement and celebrate children’s work at her school. You can listen to all our podcasts on Spotify, Simplecast and Apple Podcasts. Feature Focus Have you tried Child Login yet? Here are 5 ways Child Login can support children’s learning in your classroom: 1) Encourage children’s independence and pride in their work. Children can make choices about their learning, how it looks, what to include and where it goes. 2) Share and review children’s progress with them. Children can easily look back over their work and you can reflect together where they want to go next and facilitate their journey. 3) Set work for your children. Create activities that they can complete on their own or in groups. 4) Provide everything in one place: any videos, photos or documents your children will need can be uploaded ready for them to get started. 5) Children can share their voices and their learning via videos, presentations, photos and audio recordings. The only limit is their imagination! If you’re interested in how Child Login can help teachers and SLT, take a look at this recent article. We have also updated our infographics library to include 4 new infographics, all designed to help get you started. As always, we would love to hear your feedback about this feature. What works, what doesn’t work and how we could change things to make them better for you. Please send all feedback to customer.service@eyfs.info and one of our lovely product support team members will get back to you. Please note, our customer services are open 9-5 everyday except for bank holidays. Paying for Tapestry If you wish to pay for Tapestry by cheque or BACs, please can we remind you: Cheques - should be made payable to ‘The Foundation Stage Forum Ltd’ and NOT Tapestry or the Early Years Foundation Stage Forum BACS – we moved our service provider for our banking in October 2019 and our bank is now HSBC sort code 40 18 22 / Account no 42445565 Our old bank account with Lloyds will be shut soon so payments made to that account in error will not be processed. If you need further information, please email the finance team on bacs@eyfs.info If you do not deal with finance in your setting, please ensure this information is passed to the finance team so they can make sure their records are up to date. Thank you. Something to Try… Did you know that Tapestry comes with 5 different background ‘themes’? One of those is a Christmas theme, so if you fancy giving your Tapestry screen a festive feel you can change your theme by going to Control Panel > Settings > Theme and choosing a new one from the drop-down menu. Wishing you all a safe and peaceful Festive Season. The Tapestry Team

Parent/staff logins
JackTapestrySupport replied to AnonyMouse_78527's topic in Tapestry user conversations
HI, @Georgina_Frogley! That's correct, they will need two different email address if they need both a staff and parent profile on one account. I hope that clarifies things for you Jack -
Hi Weavers, November has seen the weather in the UK turn colder, so we hope you’re keeping warm as we move into winter, even if you do have all your classroom windows open! It’s been an exciting month here at Tapestry HQ with the addition of the new Development Matters… The new Development Matters on Tapestry If you are an early adopter school, you will be delighted to hear that the new Development Matters is now available via the Tapestry browser. If you haven’t already, please take a look at this tutorial to see how to enable it. And this tutorial will show you how to get started. The release of the new Development Matters guidance signals the opportunity for change: a shift of focus away from burdensome assessment and towards professional judgement and spending time with children. In response to this, you will notice that the new DMs have been added to Tapestry in a new way. If you want a bit more information on Tapestry’s journey to adding the new DMs, take a look at Ben’s article which explains our thinking in more detail. Please note, the new DMs aren’t available on the apps yet – we are working on adding them at the moment. As always, if you have any questions or queries about this you can email us on customer.service@eyfs.info and one of our Product Support team will get back to you as soon as possible. Protecting you and your data We have recently made a change to stop people from accessing Tapestry if we can see that the connection between them and Tapestry isn’t secure enough. If you’re interested in what we’re doing technically, we’ve switched off connections to ‘TLS 1.0’ and ‘TLS 1.1’. You don’t need to know what that means, but you should know that this will help to protect you and the data stored on your account. This change only affects people accessing Tapestry via an Android mobile/tablet running Android 4.4.4 or below (this is the operating system for the device), or on a computer using a really old version of Windows/OS X which uses the ‘classic app’ or an old internet browser. If you have experienced an error recently (usually when trying to upload observations) then this is likely to be the cause! The solution is to simply update your browser or download the new app. The new app is called Tapestry Mobile and has a colourful logo and this has replaced Tapestry Classic. Please see this tutorial if you use an iOS device and this tutorial if you use an Android device - they will walk you through the new apps. Rest assured, everyone’s login information remains the same once you switch to the new app. Internet Explorer We will be dropping support for Internet Explorer 10 and below from the end of December. Old Internet Explorer versions have not had any security updates or technical support from Microsoft since December 2016 so we strongly recommend that you update to a more modern browser if you are still using IE 10, IE 9, IE 8, IE 7, or IE 6. The drop of support for old versions of Internet Explorer by us means that Tapestry might not work quite as well on them anymore. You may find the layout goes a bit odd and some sections and buttons stop working entirely. This is likely to get worse as time goes on and as we add new things to Tapestry. By upgrading your browser though, you can avoid all of those issues. Microsoft explain on their website how you can do that – just follow this link: https://www.microsoft.com/en-us/microsoft-365/windows/end-of-ie-support There are other browsers available as well, so you might want to consider moving to another one entirely. We tend to use Chrome, Firefox, and (if we’re on apple devices) Safari, here in the Tapestry office, but there are quite a few options to choose from. If you’re using a mobile device/tablet you can upgrade via the app or play store. Podcasts We had some wide ranging and inspiring conversations in our November podcasts: Ben and Jules talked with Early Years ambassador Jamel Carly-Campbell about the importance of mentors and encouraging more Black men to work in the sector; our education team recorded two discussions – one about the new Development Matters on Tapestry, and another about Dr. Julian Grenier’s book Working with the revised Early Years Foundation Stage: Principles into Practice; and lastly, Helen and I chat with Annie Richardson about higher education and qualifications in the Early Years. You can listen to our podcasts via Spotify, Simplecast and Apple Podcasts. Something to Try… Have you ever considered doing your reading record on Tapestry? Earlier this year, I explored that idea and wrote this article – Three Ways to do Reading Records on Tapestry. I know some Tapestry users have tried this already with great success so if you’re looking for a new way to do your reading records, do give this a read.

Please note the EYFS 2021 flag set was formerly called 'Development Matters 2020' on Tapestry. This was updated to incorporate the Birth to 5 documentation. Before we get started, please note that the EYFS 2021 flag set encompasses both the Development Matters 2021 and Birth to Five Matters non-statutory guidance documents. Enabling this flag set will mean you can flag the seven areas of learning, and then aspects within, as well as seeing reference material pertaining to both documents. Now you have enabled the EYFS 2021 flags on your Tapestry account, you can start tagging the different areas within your observations. Firstly, we'll look at how to add an observation using the EYFS 2021 flags. To get started, simply go to the main Observations screen on Tapestry and click the blue "Add Observation" button. At the bottom, underneath the assessment frameworks you already have enabled, you will now see two boxes: Flags (1) and Reference Material (2). Let's cover the Flags box first. Within this box you will see all the flag sets that you have enabled on your account. You can see how to enable the different flag sets here. Flags are a very simple and quick way of linking something to an observation. Clicking on the EYFS 2021 button will bring up a new box where you can see the 7 areas of learning. Please note, you can only tag the area/aspect, not specific statements or pathways. To select an area or aspect, click on the tick box at the end of the row for that area (1). To select an aspect (from the Birth to 5 documentation), click on the '+' button for an area (2). Please note that the area 'Mathematics' doesn't have a plus button because there are no aspects for it. Once you click on the '+' button you will then see the aspects from Birth to 5 underneath. From here, you simply select the area or areas that relate to this observation. Clicking out of this box will take you back to the observation with your flags selected. And that's it! To finish the Observation you will need to add a title and link a child. As always, you can add notes, additional information, media & documents, and make any links if you would like. Reference Material This extra box to the right of your flag sets is called "Reference Material". This was designed to help practitioners get to know the new documents as well as providing on going CPD opportunities. Here you will find relevant documentation pertaining to your flags. These documents include (but are not limited to) the statements within the Development Matters document, Birth to Five Matters document, articles and podcasts. The reference material will automatically update depending on what flags you have selected and the age of the child tagged in the observation. This ensures you are provided with the most relevant information at the time. You can click on any of this reference material and it will be displayed to you in one of three ways. A new tab (1), a drop-down list (2), and a pop-up box (3). The icons on the side show you how each one will be displayed to you. Now you have the EYFS 2021 enabled, you will see an additional tab appear on your main home screen named "Flags". This screen makes it very easy to filter within particular flag sets. For example, if you wanted to see all the observations you have made for "literacy", simply select EYFS 2021 within the Flag Set list (1). Then select "Literacy" from the Area list (2). You can refine this down even further by aspect if you have Birth to 5 Matters enabled (3). This will automatically update and show you all observations containing that flag. I found a few things on this solicitors' site which might be helpful for you! https://www.moonbeever.com/comment/repayment-of-training-costs Useful information to consider as well as some sample sentences you could use. I hope it helps -
Is the difficulty the associated ADHD symptoms, or are they missing a lot of learning because of seizures? There's a lot of great stuff on here - https://www.epilepsy.org.uk/info/education/education-and-epilepsy - I think it's mainly aimed at information for parents but I'm sure something will be helpful!
-
Have you had a look at reflections? It sounds like it would be perfect for your situation. You can create a reflection, upload documents to it, tag it with specific flags, link it to other reflections or observations. It's a great way of getting other staff involved in a professional discussion. Alternatively, if you are just looking for a place to disseminate information to the staff, Document might be worth having a look at! This is a place to keep all your paperwork central and organised into folders. You can share it with relatives there too, or just keep it so staff can access. I will leave the tutorials below in case you wanted to have a closer look at them Setting up Reflections Adding a Reflection Setting up the Documents Feature How to use the Documents feature

Thank you, Finleysmaid! And I think you are right, some of it we do because it is tradition. And from the child's point of view it might not be the biggest problem in the world. From my experience, talking with my old year 6s, they definitely remember the things we did at the end very fondly. And I always used to joke about how some of the stuff we did (end of year assemblies, graduation ceremonies etc) were more for the parents than the children. So if those activities left some children with a fond memory and some parents a few photos of their children in silly costumes then I would say it's all worth it! Haha. I do think this year will have people reflecting on what is needed/what was missed etc. It will definitely be interesting to see what happens next summer and if anyone makes any changes.
-
Hi, Jules! And welcome I agree with Finelysmaid - it's best to take the time to think what you are using it for first. What takes lots of time and resources to do during your day to day and then start exploring how Tapestry can make that quicker and easier. You don't need to use everything on there so try not to get overwhelmed by all the features! If you need any clarification on any of them, do ask in here or send us an email at customer.service@eyfs.info and we will help you!

Early adopter for EYFS reforms...
JackTapestrySupport replied to AnonyMouse_62811's topic in Tapestry user conversations
Hi, We certainly are. We are currently working on getting the ELGs up there. It will be a separate framework so those early adopters can activate it on their Tapestry accounts. We will wait for more word on Development Matters too -
Policies and Welcome packs
JackTapestrySupport replied to AnonyMouse_47317's topic in Early Years Setting Management
I would definitely recommend going digital with that sort of thing. If you already have digital copies of them all, you can put them on your website as suggested, or as a zip file and email them out to new parents. If save the file I'm sure that will save you a lot of time (and paper and printer ink!) in the future too! -
Hi, @Downie2016! At the moment, clickable hyperlinks only work on the browser version of Tapestry. We are working on getting this on the apps too and hopefully it won't be long! For the meantime, could you ask relatives to access Tapestry via a browser on their device if they wish to click on the links! I hope that helps!

In this tutorial I will show you how to view Memos from your child's setting on Tapestry. You will find the Memos section by clicking the "Memos" button on the top task bar (1). You will then be taken to this screen where you will see all the Memos available to you. Clicking on the titles (1) will take you to the Memo in full. Provided the setting have permitted it, you can like (1) and comment (2) on Memos. You can also export them in PDF format. Some Memos may have media such as pictures, videos, Word documents, PDFs. Again, you may be able to download these depending on the setting's User Permissions. Attached Media will appear above the Notes section and can be downloaded by simply clicking on it. Back to contents page
-
N.B. Please note that, at the moment, staff can only create Memos from the browser version of Tapestry, which you can access from any desktop computer, laptop, tablet or phone by navigating to www.tapestryjournal.com. However, both staff and relatives are able to read and reply to memos from the apps as long as they are working on iOS app version 4.2.0 or above, and Android app version 4.0.1 or above. In this tutorial I will show you how to enable the Memos feature, review your User Permissions and create a new Memo. You can enable the Memos feature by clicking on your username in the top right (1), selecting Control Panel (2), and then Features (3). You then just need to scroll down to the Memos option and click 'Enable'. Once you've done that you will see some extra options appear. The first one, 'Memo Settings' (1) will take you to a screen where you can select whether you would like hashtags to work within your Memos. The other two options will link you to your staff and relative user permissions (2). We recommend you review your permissions now, but if not you can return to them later from the User Permissions page on the Control Panel. Your Staff User Permissions will look like this (see below). You can choose whether all or specific staff members can add, delete and restore memos, as well as comment and download media from them. Permissions for Relatives include being able to comment, like and download media. Once you are happy with your User Permissions, you can start making new Memos! This tutorial will talk you through how to do this. Go back to Main Tutorials Page

2 Year old ratios
JackTapestrySupport replied to AnonyMouse_54006's topic in Policies and Procedures
Hi, Helen! I can't see anywhere about the ratios changing. I know they were considering it being 1:6 back in 2013 according to this article. https://www.bbc.co.uk/news/education-21232270 But going from the most recent EYFS framework it does seem to still be 1:4 -
In this tutorial I will talk you through the steps of how to create a report using the SEND template. The Reports feature will be enabled by default on your account, so if you want to create a new report, click on the "Reports" button (1) on the top bar. You'll be automatically taken to your "Overview" page (2) which will show a list of the recent Reports. To start creating your SEND report, click on "+ SEND Report" on the list on the right-hand side (3). Once you have confirmed the template you'd like to use and selected the child you are writing the report for, you will be taken to this screen: Be sure to give your report a title (1). Reports cannot be saved without a title. You can set the report's status and date from the Options box (2). This first section of your SEND Report will be relevant details about the child (3). "Date of Entry to Setting", "Date of Birth" and "Age" will be filled in automatically. You can choose whether to add the "Class" and "Teacher". There is a section for you to record an overview of the child's playing, learning and thinking (4). This can be general, but you may want to refer the Characteristics of Effective Learning here. Throughout the report you can choose to 'hide' certain sections or fields (5). If they are hidden, they will not show up in the finished report. Also, if any of the boxes contain no text they will be hidden by default on the completed report. You can un-hide them whenever you're editing the report. A hidden section looks like this: After filling in these details, you can start working through the different areas of learning for the SEND framework. The assessments will be automatically filled in from the child's most recent Summative Assessment data. If you want to use data from a different period, click the blue "Fill Assessments" (1). You will see this box appear where you can select a different year and/or period. Each area of learning starts with a section for "Staff Notes" (2) before displaying the assessment data for the aspects within that area. Under each aspect you will see the stages at which you assessed the child (Stage). The number of statements you have assessed from that stage compared to the total (Proportion of Statements). The "score" which is calculated by using the refinements. Emerging is 1, Developing is 2 and Secure is 3. This is then shown against the Max Score for that aspect. (Score / Max Score) Lastly, you'll see the score as a percentage (Percentage Score) If you ever need to see the observations that contribute to this assessment score, simply click the "Observations" button (3) next to the aspect title. Before moving on to the next area of learning, there is a box to write the child's Next Steps (4). After you have reviewed each area of learning and you're happy with the content, there are a few more details to consider. (1) is for you to include any pertinent information from the child's IEP if they have one. (2) is for any comments from external professionals involved in the child's development. (3) is for any additional information not relevant to any other section. You can also use the 'Media' section at the bottom of the page to add any supporting documents, photos, videos or audio files. You can do this by clicking ‘Add Files’(1), selecting the files from your computer, and then clicking ‘Start Upload’ (2). You can also remove any files you have added using the Delete button (3), or you can change the order of the files using the arrows on the right (4). Your order will be honoured once saved, but do note that documents show up in a different section to photos, videos and audio files. Once you're happy with everything, click 'Save Report' or 'Save and Add Another' and you're all done! (5) You will see the finished version of the Report where you can add any comments. You can make reports visible to parents by following this tutorial. Go back to Main Tutorials Page

Please note that this tutorial is for creating a report using the old EYFS. For creating a report using the new EYFS 2021, please click here. In this tutorial I will talk you through the steps of how to create a Report using the EYFS template. If you want to create a new report, click on the "Reports" button (1) on the top bar. You'll be automatically taken to your "Overview" page (2) which will show a list of the recent Reports. To start creating your EYFS report, click on "+ EYFS Report" on the list on the right-hand side (3). As you can see on the picture below, there are also templates to complete 2 Year Checks and your EYFSP. Once you have confirmed the template you'd like to use and selected the child you are writing the Report for, you will be taken to this screen: Be sure to give your report a title (1). Reports cannot be saved without a title. You can set the report's status and date from the Options box (2). The "Date of Entry to Setting", "Date of Birth" and "Age in Months at Check" (3) information will be auto-filled based on the Child's profile. There is a box for you to record any Additional Information (4) you feel is pertinent to this Report. Throughout the report you can choose to 'hide' certain sections or fields (5). If they are hidden, they will not show up in the finished report. Also, if any of the boxes contain no text they will be hidden by default. You can un-hide these at any point. After this you will see two more boxes: (1) is for you to record the staff members the contributed to this Report (2) is for you to record an overview of the child's playing, learning and thinking. This can be general, but you may want to refer the Characteristics of Effective Learning here. Once you've finished with these details, you'll see the first of the seven areas of learning for the EYFS. Each area has its own section. The aspects within that area are shown below. Assessments - Age Bands and Refinements (if you have chosen to use Refinements at your setting) will be automatically filled from the child's most recent Summative Assessment. If you would like data from a different period, use the blue "Fill Assessments" button (1) to choose a "select period". You also have the choice of what type of assessments for the selected period appear. You can choose from "Earliest Assessments", "Latest Assessments", "Assessments with Lowest Age Bands" and "Assessments with Highest Age Bands" Each Area has a section for staff to write notes specifically this area (2) As I said, the Age Bands and Refinements will be automatically filled, however you can change them by simply using the drop-down menus (3). Please note, changing any of these assessments on the report will have no effect on the child's summative assessment screen. If you would like to see the observations that contributed to this assessment, click the blue "observations" button (4) above each aspect. Reports can also generate Next Steps based on the current assessments as they appear on the report (5). If you would rather set your own next steps, you can simply delete them and type your own. After completing the areas or learning sections, there a few more details to consider: Any additional information not covered previously can go in the Additional Information box (1). There is a section for "Child Voice" and "Relative Contribution" (2 & 3). If you publish this report for relatives, these sections can be filled in by them at any point. However, you can also fill in these sections on their behalf if you wish. The report can be signed by the Key Person, Relative and Manager if needed (4). At the bottom of the page you will find the 'Media' section. This will allow you to add any supporting documents, photos, videos or audio files. If you want to make your report visible to relatives, you just need to follow this tutorial. Go back to Main Tutorials Page
