Hi Weavers, Welcome to the June Tapestry newsletter. It’s been another busy month here at Tapestry. We have released two new features, welcomed three new members of staff to the team (remotely!) and continued to work on creating supporting resources to help you with home learning and now, end of year transitions. In this newsletter we’ll introduce our new features as well as a compilation of all the resources we have to help you with the end of year process on Tapestry. Let’s get started! New Features Enrolling Children Earlier this month we added the ability to add children as ‘enrolling’. It’s possible to do this individually or in bulk. Children who are enrolling do not contribute to the number of active children on your package and you can’t use the full functionality of Tapestry with them. The following actions can be completed with children who are enrolling: Add them to groups Link them to relatives Assign them to staff as key children Complete their All About Me Print name labels for them As files within the Documents feature aren’t linked to specific children, you could also make files accessible to enrolling children’s relatives within Documents To add children as enrolling you can follow our tutorials for adding children individually and adding them in bulk. Once you have done so, this tutorial talks you through how to activate them. Please note, you can only add as many enrolling children as you have active child spaces, so for example if you have our up to 60 child package, you would only be able to add 60 enrolling children. Also, once you make an enrolling child active, it’s not possible to change them back to enrolling. Access to accident forms outside of the Care Diary For schools and settings who want to use the accident forms on Tapestry but for whom the Care Diary is not age-appropriate, we have now added the ability to enable accidents separately from the Care Diary. This can be done by any manager on an account by going to the Control Panel – Features. It’s not possible to have both Accidents and the Care Diary enabled on your account. Therefore, if you are using one and swap to the other, the previously enabled one will be disabled. If you do this, any completed accident forms from the previously enabled feature will show up in the current one. In addition, if you have the Care Diary turned on and start using Accidents, all your Care Diary entries will be saved and can be accessed if you start using the Care Diary again. To find out how to enable Accidents separately from the Care Diary, take a look at this tutorial. You can then follow this one which explains how to use the Accidents feature. If you’re interested in accessing the accidents section within the Care Diary and using the Care Diary as a whole, this tutorial will explain how to enable the Care Diary on your account. You can then follow this one to see how to complete an accident form here. What to do at the end of the year Videos Make sure to subscribe to our YouTube channel where we will be posting a range of video tutorials which will talk you through the different steps you might want to take on your account at the end of the year. You can watch our first end of year video tutorial on how to download children’s learning journals individually and in bulk here. Written tutorials You can also find all our written tutorials about academic year changeover in the ‘End of Year’ section of our main tutorials page. Tutorials here include how to download children’s learning journals, how to transfer children between packages and how to delete children from your account. Articles To make sure you have covered every step you may need to take on your Tapestry account when you transition between academic years, take a look at this article, which breaks the whole process down into nice, easy to follow steps. If you are adding new parents or relatives to your Tapestry account, we have written an article which covers all the data protection and safeguarding considerations you might need to think about before you add them. You can read this online here. If you are new to Tapestry, we would suggest you don’t add parents or relatives onto your account until you feel confident using Tapestry. Then, if parents have any queries, you’ll be ready to help them. Need to add new children before deleting your current cohort? If you want to add your new cohort of children but aren’t ready to delete the current children, you may want to use our new enrolling feature to add the new children, though please note, you can’t use the full functionality of Tapestry with children that are enrolling. See the new features section of our newsletter to see how to add children as enrolling. If you would like to be able to make observations, memos or activities to share with the parents of new children then you will need to add the children as active to your account. Blurring a face in a photo

Hi, Unfortunately, it's not possible to select specific children in a photo and blur these out on Tapestry. In the User Permissions section in the Control Panel you can set it so relatives can't see any media in group observations, but this would apply to all observations for all children. This tutorial will show you how to access and change the options in the User Permissions section. You can use the "edit" tool to crop photos on Tapestry, to remove children from photos or could you use additional software or apps to obscure or pixelate the other child's face before uploading the photo. We would ultimately like to be able to offer this within Tapestry itself, but it is likely to be a while before we are able to add this feature, and I know many settings use other apps effectively in conjunction with Tapestry (eg. adding smiley faces over the faces of the children, or a blurring tool). Any photo editor will probably offer you something that would work, so perhaps search your usual app store for any editor, or the word "blur" or "sticker", and see which apps work for you. There shouldn't be any need to pay for an app - I'm sure that there are a lot that will work very well for free! Best wishes, Emily -
We have now added the ability to enable Accidents separately from the Care Diary for schools and settings where using the whole Care Diary isn't age-appropriate. To enable Accidents on your account you just need to go to the Control Panel -> Features. There you will have the option to turn on either Accidents or the Care Diary. Please note, it is not possible to have both Accidents and the Care Diary enabled on your account, so if you already using the Care Diary and you enable Accidents, the Care Diary will then be turned off for your account. Don't worry if you do this by accident though, as you can turn the Care Diary back on and all your previous data will be saved. If you add accident forms through the Accidents and then enable the Care Diary, these will then be incorporated into the accidents part of the Care Diary. Neither the Care Diary or Accidents features are available on the app, but we do plan to add them. If you would like to be kept updated about this, please contact us by emailing customer.service@eyfs.info. I will link below the tutorials which will talk you through the set up process for the Care Diary and Accidents in full, as well as how to use these features. Hi, The ability to filter children isn't just available on the beta version of the new Android app, it is also available on the live version of the new app (there are currently two versions of the app available to download, the new one and the original one). Is this what you are using on your Amazon fires? If you're not sure you can check by going to the app login page, at the bottom you should see some writing which will tell you the version number you are using. If you are using the new app, it should start 1.3... with the most up to date version being 1.3.9. If you are using the original app the writing will start with a 3 and the most up to date version of the original app was 3.2.2. If you are not using the new app, this tutorial will talk you through how to download it and use the new features including filters so you only see a specific group of children when making observations. Hi Weavers, Welcome to the May edition of our monthly newsletter. We hope you are all managing to keep well and are staying safe. We have continued with our resources to support home learning and to help you stay connected with parents and carers, including podcasts, activity infographics and new activities in the Tapestry Activities Catalogue in our Activities feature. You can find links to all these resources and more on our Coronavirus information page here. Let’s take a look at our other news from the month. Ability to order media Now available on the browser version of Tapestry is the ability to order media (photos and videos) within observations, memos, reports, reflections, planned activities and activities in your own collection. You can do this when adding or editing one of the posts just using up and down arrows on the right-hand side of each piece of media. Videos, audio clips, and pictures sit separately to documents when the page is saved (documents appearing below them in their own section), but you can change the order of them in each of their groups. You can read this post for more details about this. Activity Infographic: New Starters To help support parents and carers who have children due to start primary school in September and who are currently learning at home, we have created a list of simple things they can do with their child to help them prepare for Reception. You can download this from our new activity infographics page on our information site. Also available on this page are activity infographics for EYFS, KS1, KS2 and SEND children. We hope you find them helpful! Tapestry for Key Stage If any of you are considering using Tapestry with KS1 and KS2 children next year, we have written an article explaining some of the Tapestry features that you can use with Key Stage children and how they can benefit teaching and learning. You can read this online here. If you are interested in finding out more about using Tapestry in KS1 and KS2, you can also get in touch with us by emailing customer.service@eyfs.info. New Tapestry Contract If you are a manager on Tapestry, you may have recently been notified about a new version of our Tapestry contract. There haven’t been any fundamental changes to the contract, but some of the main ones include our business address being amended, updating language now the UK has left the EU and updates due to us changing our payment provider for our billing and customer support. Please note, this new version of our contract doesn’t affect your subscription or subscription dates in any way. Also, agreeing to the contract does not mean you are agreeing to renew Tapestry for another year. We would recommend reading the contract though and if you are happy with it, agreeing, for your own GDPR compliance. This can be done by clicking on the yellow banner at the top of your screen or by going to the Control Panel -> Contracts on your account. If you have any questions about the new contract, you can email tapestry.support@eyfs.info. Want to add new starters? If you are wanting to add new starters to your account now ahead of the new academic year, please do email us at customer.service@eyfs.info from an email linked to your account and one of our support team will be happy to discuss the different options available to you. Feature Focus: Adding a Tapestry login link to your device home screen If you prefer to access Tapestry through the browser version and you use a mobile or tablet device to do so, a top tip to make it easier to do this is to save a link to the Tapestry login page on a browser to your device home screen, just like an app! To do this you just need to go to the Tapestry login page (tapestryjournal.com) on a browser of your choice on your device. Then go to the browser settings, these may be at the top or bottom of your screen depending on what type of device you are using. Then select the option ‘Add to home screen’ (it may not say these words exactly, but it should say something very similar!). You can then choose what it is labelled as e.g. Tapestry Browser, and it will either be placed on your screen or you will have the choice where to place it. After following these steps, you will see an icon on your screen which you just need to tap on to open the login page. This quick video tutorial also shows you how you can do this. Reminders Please note that we changed our bank account last year, so if you have an invoice that requires payment, you will need to ensure the details you hold for us are up to date. You can find the correct bank details for us on your invoice. If you would like them confirmed, please email us at customer.service@eyfs.info. If you are paying an invoice by BACS, to ensure there is no delay in processing your payment, please do also make sure to send a remittance advice with your invoice number included to bacs@eyfs.info and include your invoice number in your payment reference.

N.B. Please note that, at the moment, Memos are visible through both the app and browser version of Tapestry but they can only be created through the browser version of Tapestry. Staff members will need to log in to their accounts from www.tapestryjournal.com from their desktop computers, laptops, tablets or phones to add these. Once you have enabled Memos on your account you will see this option appear on the task bar at the top (1), clicking on that will take you to the screen you see below. Here is where your Memos will appear once you've made them. You can see an example of one I made earlier (2). To start creating your own Memo, click the '+Add Memo' button in the top right corner (3) As you can see, Memos look a lot like Observations and work very similarly, too. Firstly, select a child by clicking the '+Select Children' button. Please note, only the relatives attached to the children you select are the ones that can access this Memo. You can select individual children from the tick-boxes at the end of the row of their names (1). You can also select whole groups of children using the 'Select all' button (2). To only see children from a specific group (3) or cohort (4) you cans select those tabs at the top. If you're looking for a specific child you can use the search bar (5). Once you have added the necessary children, click 'Done' (6). Next, give your Memo a title (1) (it will not save without one). On the right-hand side you will see you have a couple of options. Clicking on the ‘Draft/Publish’ drop-down (2) will provide you with three different options, these are: Make draft: This means only staff will be able to see the memo, no relatives will be able to. Publish: This will make it accessible straight away to relatives and if they are set up to receive notifications, they will be notified. On the creation date (scheduled): This will publish the memo on the date you select from the calendar above (3). If you select a date in the future on the calendar but do not select this option, the memo will not become scheduled. You can read this tutorial for more information on scheduling posts on Tapestry. The date of the memo can be changed from the 'Created' section (4). Once you’ve selected whether you want the memo to be a draft, published or scheduled you can then fill in the ‘Notes’ box (4) with whatever you need to tell the relatives. You can also upload documents to your Memo such as pictures, videos, audio files, Word docs, PDFs etc. by clicking on the ‘Add Files’ (1) button to select the documents you need. Once you've done that, click ‘Start Upload’ (2). Once media have been selected you have the options to delete them (3), in case anything has been added by accident and you can also choose the order of the media using the up and down arrows (4). Videos, audio clips, and pictures sit separately to documents when the page is saved (documents appearing below them in their own section), but you can change the order of them in each of their groups. If you're happy with everything, go ahead and click ‘Save’ at the bottom (5). After saving, you will see your Memo. If you want to change the status of the memo from here, you just need to click on the cog button (1). When you have a memo open you will also see the option to add a comment (2). Back on your main Memo screen, you will now see your new memo appear on the list (1). If you want to make any changes to a memo, you just need to click on the ‘Edit’ button (2). Clicking on the cog button (3) will give you the options to view the history of the memo, change the status of it depending on its current status, schedule it and to also delete the memo. Documents on tapestry

Hi finleysmaid, In terms of parents accessing documents, yes they will have to be logged in through the browser version of Tapestry to download them. I'd be interested to hear how other settings are handling this though! Best wishes, Emily -
In this tutorial I'll explain how children that have been added as 'enrolling' on Tapestry can be activated either individually or in bulk. To learn how to add children as enrolling to your account, you can take a look at our tutorials on how to add children linked below: Adding children individually Adding children in bulk via CSV (spreadsheet) file Children that are enrolling do not contribute to the number of active children on your account and you can't use the full functionality of Tapestry with them. The following actions can be completed with enrolling children: Add them as key children for staff Link them to relatives Add them to groups Fill in their All About Me Add name labels for them Add memos for them Please note when you change the status of a child from enrolling to active, it's not possible to change them back to enrolling. To activate a child or children that are enrolling on your account you will need to go to the Control Panel (1) -> Manage Children (2). At the top of this page you can see how many enrolling, active, inactive and awaiting deletion children you have, as well as the total number of children and how many free enrolling and active child spaces you have on your account (3). By default you will see all children you but if you just want to see enrolling, active, inactive or awaiting deletion children, you can click on the appropriate button. As we are looking for enrolling children here, you'll need to click the 'Enrolling' button (4). Alternatively, you can select to only view enrolling children by setting your page filters. You can do this where it says 'Filter & Sort Children' at the top of the list of children (5). Clicking 'Filter & Sort Children' will bring up a pop-up menu from which will need to select 'Enrolling' from the 'Status' drop-down (1) and then press 'Submit' (2). You will then see only children that are 'enrolling' on this page. It is possible to activate enrolling children individually or in bulk. We'll look at how to activate individual children first. To skip to the section on activating enrolling children in bulk click here. How to activate enrolling children individually To activate children individually you just need to click on the cog button at the end of the row of their name (1) and select 'Make [child's name] active' from the drop-down (2). You will then be presented with a pop-up box asking you to confirm this action. This is important as once you make an enrolling child active, it's not possible to change them back to enrolling. If you are happy to proceed, click on the 'OK' button (1). If you aren't ready yet, you can press 'Cancel' and return to this later. Once you've clicked OK, the page will refresh. As you have your page filters set to only see children that are enrolling, you will no longer be able to see this child in the list. How to activate enrolling children in bulk To activate several children at once you will need to select their names from the tick boxes (1). When you do this, a pop-up box will appear in the bottom right-hand corner. From there you just need to select 'Make Active' from the drop-down box (2) and press 'Go' (3). After pressing 'Go', you will be taken to a page where you can see the names of all the children you selected. For each child they will automatically have the option 'Make active' selected. If any children were selected by mistake and you do not want to make them active, you can click on the drop down (1) and select the option 'Do nothing' (2). It's important to note that when you make an enrolling child active, it's not possible to make them enrolling again. To proceed with making the children active, click on the 'Make Children Active' button (3). If you don't want to continue, click on the 'Back to Manage Children' button (4). After making the children active you will be taken back to the Manage Children page where you will see a message at the top confirming this action (1), and you will be taken back to the page where you can view all children on the account (2). If you chose to set your filters to display only enrolling children, click to reset the filters (3). So, that's how you make children that are enrolling active on your account. If you have been given permission to use this function, you will be able to send and receive messages with your child's setting within the Care Diary. If you haven't already, make sure to take a look at this tutorial which will explain to you how to view entries on the Care Diary. To do this you will need to be logged in through the browser version of Tapestry and you will then need to select the 'Care Diary' option at the top of the page. If you have any Care Diary entries, you will see the option to send messages underneath these. Otherwise you will just see the comment option. You can write your entry in the box (1) and you just need to click on the paper airplane button to send it (2). Once you have sent a comment you will see this show up above the box where you can write messages (1). You can like and reply to your own comment and if you have been given permission, you can also delete it (2). If a staff member replies to one your comments you will see this appear underneath your original comment (1). You can either like or reply to the comments (2). To start a new message thread you just need to put you message in the comments box and press the paper airplane to send (3). So that's how you can send messages back and forth with your child's setting through the Care Diary! Back to contents page

News in brief New Features Activity Infographics New podcast episodes Hi Weavers, We hope you are all managing to stay well and safe during this difficult time. All our staff are working from home, but we are still offering a full service for our Tapestry users. We have also been working hard to add new features and create resources to help you with your remote teaching and learning and ensuring you can stay connected with children and families. If you have any ideas for tweaks to existing features or new features you think would be of benefit to you, please do get in touch with us by emailing customer.service@eyfs.info. Let’s start by taking a look at the new features we’ve been able to add this month. Activities This brand new addition to Tapestry provides you with a catalogue of activity ideas added by our education team. You can browse this catalogue, move activities to your own collection where you can also add your own, and plan activities based on these ideas. Activities in your own collection and in the Planned Activities section can be shared with relatives so they can complete the activities at home. Activities can then be linked to observations to show the journey of an idea becoming an activity that is then experienced by a child or children. This playlist of videos will talk you through how to set up and use this on your account. Scheduling It is now possible to schedule posts on Tapestry (observations, memos and activities) to be released to parents/relatives at specific times of day and on specific dates of your choosing. It is very quick and easy to do; this tutorial talks you through how. Please note, this is only currently available on the browser version of Tapestry and the latest version of the iOS app. We are working on adding this to the Android app as well. Audio Files As well as photo, videos and documents, you can now add audio files to your observations, memos, activities and reflections of up to 30 minutes or 5GB on Tapestry. This can be done by using the ‘Add Files’ button within a post. Whilst you can see and listen to audio files on the app, at the moment it’s only possible to upload these through the browser version. Remember it is possible to access the browser version through a phone or tablet, you just need to use a browser on your device. App Updates There have been two recent updates to the iOS app which include several new features such as clickable links, extended video limits, the ability to open attached files and the ability to schedule observations. To access all these new additions, you just need to update your app from the App store, the most recent version is 4.1.9. You can also read this post for more details. We also have a new beta version of the Android app available which includes clickable links, extended video limits and the ability to open files attached to observations. This version of the app isn’t live to everyone on the Play store yet, but anyone can sign up to the beta. If you are interested in finding out more about this or signing up, have a read of this post. Activity Infographics We have had a fantastic response to our weekly activity infographics. We’re so glad so many of you are finding them helpful. Our activity infographics are a collection of fun EYFS activities that can be done easily with a child or children at home to support their development . Each week we take turns to focus on activities that correlate with either the Prime or Specific Areas of Learning. They are announced on our social media channels (Twitter and Facebook) every Thursday evening and they can be downloaded from our Coronavirus info page. On there you can also download all the previous weeks’ infographics too. Podcasts We are still recording weekly episodes of our podcast on a range of topics to help you with remote learning during the lockdown, including interviews with other practitioners with their tips and advice. You can find all our podcasts available on Spotify, Google Podcasts, Apple Podcasts and over on our Simplecast page. Feature Focus: Notifications Now more than ever, it is important to maintain communication with parents/relatives at your setting. One of the helpful ways you can do this through Tapestry is by setting it so parents receive notifications when you add something for them to look at. You can make sure you have this option enabled by going to the Control Panel -> User Permissions -> Relatives -> Notifications. The option ‘Receive Notifications’ will need to be set to permitted . If you have this option turned on and parents are not receiving notifications, you can look at this tutorial which will talk you through what to do.
