  1. Hi Clare,

    With most modern versions of Word you should be able to convert a PDF to a Word file. To do this you will need to download the PDF onto your computer. In your file explorer, open your downloads, find the document in the list and right-click on it. From the drop-down list, click on 'Open with'. If you don't see Word on the initial list you can select 'Choose another app' and then find Word in the list. 

    Word should then give you a pop-up saying Word will convert your PDF and you just need to click on 'Ok' to proceed.

    Reflections would definitely be a good place for these, as Mousekeeter says, parents can't see these. :)

    There is no in-built spell checker in Tapestry but the device or browser you are using should have one, if it's not enabled or working it's worth checking those settings!

  4. In this tutorial we're going to look choosing a password policy when setting passwords for children and deciding on the visibility of the passwords when children login.  

    First, let's look at the different password policy options.

     

    Child password policies 

    Wherever you choose to generate passwords for children (you can see the different ways in this tutorial), you will be asked to choose a password policy. There are seven different options you can choose from (see below), ranging from trivial to stronger. 

    We do recommend considering these options and what the consequences of each of them carefully.

    The default password policy selected is 'Strong: three funny words', but all of the options are simpler than we recommend for adult Tapestry users. This is because Child Login only works on computers/tablets you have specifically allowed access to, or when the child is with one of their relatives if you have allowed relative access.

    When choosing a password policy, we recommend taking into account the following: 

    • How secure are the devices the children will be using to login with - the less secure the device, the stronger we recommend the password policy to be
    • The age of your children - simpler passwords may be more suitable for younger children whereas older children may be able to handle more complex passwords 
    • Might children try guessing each other's passwords - if so, you might want to try choosing a stronger password policy
    • Who else has access to devices with Child Login pages enabled - they will be able to access the login page too and so could have a go at guessing a child's password

     

    Visibility of passwords 

    Once you have chosen your password policy for children and they have their passwords, the other consideration is what you want the visibility of the password to be when the children login. You are asked to select this when setting up group login pages and you can also set this from the Control Panel -> Settings -> Child Login.

    Here there are three options as to whether or not children can view their password when they log in. They are:

    1. Show children their password as they type
    2. Show children a button that when clicked will reveal their password
    3. Never show children their password as they type 

    We recommend considering the security of your devices before choosing one of these options. If option 1 is enabled or if option 2 is and a child clicks to view their password when they enter it, this will mean anyone who can see their screen will be able to see the child's password.

    However, options 1 & 2 may be more suitable if you have younger children.

  5. The Child Login on Tapestry allows children to log into their own Tapestry account to view and respond to observations and activities set by their teachers.

    To allow your child to log in at home, you will firstly need to log into your account from the browser version of Tapestry (tapestryjournal.com). Then click on the 'Child Login' (1) option on the blue bar at the top of the screen. On the next page, click on the 'Log out and switch to child' (2) button.

    If you have any trouble accessing your child's account, or the child login option isn't available, you will need to contact the school, as they may need to adjust their user permissions to allow access.

    After clicking on the child login button, you'll then need to click your child's name or picture (1), enter their password if prompted (2) and then click 'Log in' (3).

    If your child requires a password to login, this will have been set by a staff member. Therefore if you don't know or can't remember your child's password, contact the school and they should be able to let you know the password or set a new one.

    Once your child has logged onto Tapestry they will be able to view Observations (1) and Activities (2) their teachers have published, as well as add comments or replies to these. Depending on the school's user permissions they may also be able to add their own observations (3).

  6. Before your children can start using the Child Login page, you will need to made sure everything is set up ready for them to do so. You will need to have enabled Child Login for your setting, set the children passwords ready to use, set user permissions for children, set up group login pages and added the appropriate group login pages to the devices you want the children to use. The following four tutorials will take you through each step if you haven't done these already:

    1. Enabling the Child Login
    2. Generate/reset children's passwords
    3. Setting user permissions for children
    4. Create a group login page
    5. Enable a group login page on other devices

     

    Please note: once children have logged in, they will be able to see any published observations they are attached to; not just any new ones that are added after the Child Login has been enabled.

    If you're ready, let's get stuck in!

     

    Beginning the session

    First, you will need to make sure that the group login page is active before the lesson/session can start. Go to the 'Child Login' tab (1), then find the group login you want to enable and press 'Turn On'.

    This will make the group login page active for the children to use, but only on computers that have been set up to use it (see tutorial 4 above). 

    The children will then be able to start from the main Tapestry log in page. If someone is already logged into Tapestry on the device you want to use, they will need to sign out in order to let the child log in.

    That should either take you straight to a group login page, or to a list of the available login pages if there are several linked to the device you're using.

    If the group the child is looking for doesn't appear though it might be because the group login page has not been turned on for that session or because the group login page has not been enabled on that computer. Take a look at our troubleshooting guide for information on how to fix that!

    The child should select their group from the list. If they accidentally (or out of curiosity!) click on another group, they can get back to the list by clicking 'I'm not in this group!' in the top right hand corner.

    When they have got to their own group though, they should click on their name/profile picture. That will make a box pop up where they can enter their password (1) and they can click 'Log in' (3). Depending on what settings you have chosen for password visibility (this can be changed by managing an existing group login page - please refer to this tutorial), the child may see a button that will show/hide their password as they type it (2).

    If the child has forgotten their password, you can log in on their behalf using your own password. This is particularly useful if you need to give quick access to Tapestry for a child. Once the session is over though, you can reset their password for them properly - take a look at this tutorial.

    At this point the child should be all logged in, and able to use Tapestry to view and contribute to their journal! Depending on what permissions you have given the children, they can go ahead and view/upload Observations (1), view and respond to Activities via the other option in the blue menu at the top of the screen (2) and also leave comments on/ask questions about the Activites and Observations they can see (you can view what permissions you have in place for them by going to 'Control Panel' -> 'User Permissions' -> 'Children'). If you want to change the permissions as to what children can do and see on your account, take a look at this tutorial

    Ending the session

    When the lesson/session is over, you will need to turn off access to that class's group login page. Just as with starting a session, you will need to be logged in as a staff member, go to the 'Child Login' tab (1), then find the group login you want to disable and press 'Turn Off'.

  7. This tutorial is all about setting and resetting child passwords for those using Child Login. There are quite a lot of options so I've split them into sections to try and make it a bit easier for you to find what you're looking for. You can also use the links below to navigate to a specific section.

    1. Setting them - during the set up of a group login page

    Before setting passwords for children, we would recommend taking a look at our password setting advice article

     

    1. Generating passwords during the set up a group login page process

    When you get to the end of setting up a new group login page (see this tutorial for how to do that), you'll be told if some of children in that group don't have their own passwords yet. 

    It will look like this, although if none of the children have passwords already, you won't see the orange section at the top:

    Tapestry will automatically generate passwords for these children, but you'll need to choose your password policy (1) i.e. what those passwords should look like, and as a consequence of that, how strong they are. 

    If some of the children do already have passwords, you'll see the orange box at the top (2). You can generate new passwords for them, but be careful about doing this. By including those children in this round of password setting, you'll make any of their previously generated passwords invalid. 

    Each child always uses the same password to login to their account (regardless of which class/group they're with) so as long as they remember it, it's better to leave those alone. You can click on the white 'Leave their passwords alone' button to leave them as they are, or just not select anything. 


    All you need to do, is click on the 'Generate passwords for these children' button (3). Doing so will download a PDF document which will include  a password for each child on the list. You'll need to distribute these to the children in a way that suits you.

    You won't be able to download that list again so if it gets lost before the children know their passwords, you'll need to reset them. 

     

    2. Setting up/resetting passwords from the Manage Children page

    If you need to set or reset children's passwords, one easy way to do it is by going to the Control Panel (1) and then 'Manage Children' section (2). You will need to be a manager to get there, but once you do, select the children that need a password by ticking the boxes just along from their names (3). That will make a pop-up box appear in the bottom right-hand corner, and from there, you can select 'Generate passwords' (4) and press 'Go' (5).

    After pressing go, a big pop-up box will appear. If you are resetting the passwords, it will look like this:

    If you are sure the child has forgotten their password or if you need to change it because someone who shouldn't know it, does know it, then click 'Include them'. If you have kept a paper copy of all the passwords somewhere, make sure to up date that with the new one once you've finished with this reset process. 

    After that, or if you're setting passwords for the first time, you'll be taken to the next step. 

    Here select a password policy (1) and then click on the 'Generate passwords for these children' (2).

    This will cause a PDF document with a list of their new passwords in to be downloaded. You'll need to distribute these to the children in a way that suits you.

    If you need to set/reset the password for just one child you can do this by clicking on the 'Edit' button at the end of the row of the child's name you want to set/reset the password for.

    On this page you will need to scroll down to the bottom and in the 'Password' section, click on the 'Set Password Manually' button.

    This will open up the section so you can enter a password (1), confirm this (2) and enter a hint for it (3). For advice on setting passwords for children, please see this article

    Once you have inputted these details, just press the 'Save' button (4) to set the password.

    3. Setting up/resetting passwords from the Children tab 

    Managers can also generate passwords from the Children tab. To do that, click on 'Children' in the blue navigation bar at the top of the page (1) and select the tick boxes for the children you want to generate the passwords for (2). 

    That will cause a pop-up box to appear in the bottom right-hand corner. From there select 'Generate passwords' (3) and press 'Go' (4).

    After pressing go, a big pop-up box will appear. If you are resetting the passwords, it will look like this:

    If you are sure the child has forgotten their password or if you need to change it because someone who shouldn't know it, does know it, then click 'Include them'.     After that, or if you're setting passwords for the first time, you'll be taken to the next step. 

    That will bring up another options box where you will need to select what you want the passwords to look like (1). Then click 'Generate passwords for these children' (2).

    If you just want to do that for one child, you can click on their name (1) and then choose 'Generate password' (2) from the list of options. That will bring up the same pop up as above.

    In either case, a PDF will download with the password/passwords in, and you can tell each child what theirs is. 

     

    4. Setting a password for an individual child from the Child Login screen

    Your final option, is to use the Child Login page itself to set a child a password. When you first click on the Child Login screen (1) you will see a number of options available to you: 'Switch user to a child' (2), the ability to view and manage existing group login pages (3), 'Set up school computers for children' (4) and 'Manage whether children can log in from home' (5).

    By clicking 'Switch user to a child' (1) or on the title of the group login page (2) (if you know the child your looking for is attached to a group) you will be taken to a list of all the children/the children in that login group.

    When you scroll through that list you'll be able to see the children who haven't already had their passwords set, because they'll have a red 'Set password' box under their names.

    When 'Set password' is chosen, a pop up box will appear from which you can generate the child's password. You can choose the password strength from the drop-down (1), and when you're ready, click 'Generate passwords for these children' (2).

    A PDF document will be created containing the password for the child which can be used to access their profile from a login page with them on.

     

    5. Resetting them - how to get a child into their account quickly

    Option 1: If you can see the login page for them.

    Staff members can use their own passwords to log a child in. You might want to do this if you're in a lesson and so don't have time to reset children's passwords right now. 

    If they can get to the page where they login but they can't remember their password you can just authenticate their access by typing in your details. Don't worry, though, that won't give them access to your account!

    They'll need to click on their name/picture and then you'll need to select 'Use Teacher Password' in the top right hand corner.

    Then just choose your name from the drop down list (1), fill in your password (2), and log in (3).

    Option 2: If you can't get to the login page for that child

    If they can't even see themselves on that login page/the login page full stop, the quickest way for you to rectify this is for you to log in to the browser version of Tapestry as normal (but on the device you want the child to use), go to the 'Children' section (1), find the child either by scrolling though or by searching for their name (2), click on their name (3), and choose 'Log child in on this device' (4).

    Once you've got a bit more time, it's worth permanently resetting any permanently forgotten passwords, but the above will allow you to get on with the lesson.

  11. Profile picture upload pages are now available for managers on the browser version of Tapestry. This feature should cut down the amount of time it takes to add profile pictures for new children, relatives, and staff joining your school or setting.

    You can find it in the control panel by going to the ‘Manage Children’, ‘Manage Relatives’ or ‘Manage Staff’ page, depending on who you’re adding profile pictures for. You should be able to see a button on each of those pages labelled ‘Update Profile Pictures’. For the children, you can also access it from the ‘Children’ page by ticking the boxes next to the children you want to add/change a picture for. 

    This is a manager only feature, so if you’re logged in as a full staff or PIN only staff member, you won’t see that option.

  12. On Tapestry it's possible to add or update profile photos for children either individually or in bulk. In this tutorial I will talk you through both ways.

    To do this you will need to be a manager on your account and you will need to be logged in to the browser version of Tapestry through tapestryjournal.com.

    I will firstly show you how to upload a profile photo for an individual child.

     

    Uploading a profile photo for an individual child

    Once you've logged in, click on your name in the top right-hand corner (1) and select 'Control Panel' from the drop-down (2). On the Control Panel, you will then need to select 'Manage Children' from the left-hand menu (3).

    Once you are on the Manage Children page, you will firstly need to find the child within the list. You may want to use the search bar at the top of the page to help you with this (4). After you've found them, click on the 'Edit' button at the end of the row of their name (5).

    On the next page, at the top, click on the 'Add Photo' button.

    After clicking on the 'Add Photo' button, you will then be presented with some more options. You just need to click on the 'Browse' button or drag your file to where it says 'Or drag and drop files here' to upload a photo for the child.

    Now that you have uploaded a photo, you can remove it if you've selected the incorrect one (1), crop it using the the blue box on the actual photo (2) or rotate the photo (3). When you are happy with the photo after any edits you've made, click on the 'Upload' button (4).

    After you've uploaded the photo, just remember to scroll to the bottom of the page and click on the 'Save' button to complete the process of uploading the profile photo for the child.

    Now that we've looked at how to do this for an individual child, we'll look at uploading profile photos in bulk. 

     

    Uploading profile photos in bulk

    There are two different ways you can access the page to bulk upload children's profile pictures. 

    The first way is from the same Manage Children page on the Control Panel that we used to upload individual children's photos. At the top, click on 'Update Profile Pictures'.

    The second way to access this page is from the 'Children' tab at the top of the screen (1). 

    Here you will need to select the tick boxes for the children you want to upload photos for (2).

    By default you will only see 12 children per page here, so you might want to change it so you can see all children at once. To do this you just need to click where it says '12 per page' (3); and from there you can choose to see all children. If you want to select all children on a page at once, click where it says 'Select items' and choose all (4).

    In the bottom right-hand corner you will then see a pop-up box, from there select 'Update profile pictures' (5) and press 'Go' (6).

    On the bulk upload page, you will see all the children listed on your account or the ones you selected from the Children tab.

    For children that don't already have profile photos, you can click on the 'Add Picture' button to select a photo from your files (1). If you already have the photo open, you can drag it to where it says 'Drop a file here to upload' (2). 

    The process for updating photos for children that already have one is exactly the same, it will just say 'Replace Picture' (3) instead of 'Add Picture'.

    Once you've selected a photo, you can crop it using the blue box on the photo (1), and you can also rotate it if it's not the right way up (2). If you realise you've selected the wrong photo, you just need to click on the 'Cancel' button (3).

    When you're happy with the photo, click on 'Upload' (4).

    After the photo has finished uploading it will show up as green with a tick to inform you that this has been done. You can then move on to uploading more profile photos for other children.

    So, that's how to upload profile photos for individual children and in bulk for groups of them. You can also upload profile photos for staff and relatives using the same methods, just from the Manage Staff and Manage Relatives pages respectively.

  13. In this article I'm going to explain the different child statuses there are on Tapestry and answer some of the frequently asked questions regarding them.

    There are four different types of status a child can have on Tapestry:

    Enrolling - This was designed for when you want to add a new cohort of children at the end of the academic year before your current children have left. You can't use the full functionality of Tapestry with children that are enrolling. You can only: attach them to relatives, assign them to staff as key children, add them to groups, add them to Memos, complete their All About Me and print name labels for them. It's only possible to add the same number of enrolling children as you have active child spaces, so if you have an up to 60 child package, you could add up to 60 children as enrolling. Once you make an enrolling child active, it's not possible to change them back to enrolling. 

    Active - Only active children contribute to the number of child spaces on your account. A child can be added as active or they can be added as enrolling and then activated at a later point. You can also reactivate an inactive child and you can restore a child that is awaiting deletion within 90 days to become active again. 

    Inactive - You can make a child that is active or awaiting deletion inactive on your account. Once you make a child inactive, they will no longer contribute to your number of active children, so it will free up a child space on your account. Inactive children will remain on your account until you reactivate or delete them. There is currently no cap on the number of inactive children you can have on your account, but this might be something we add in the future.  

    Awaiting Deletion - Once you select a child to be deleted from your account, they will remain in an 'awaiting deletion' state for 90 days. During this time you can restore them to active or you can make them inactive. At the end of the 90 days they will be deleted from your account. If they are included in any group observations with other children who are still active, these observations will not be deleted. Any reflections for them will also not be deleted, but their name will be changed to 'deleted child' for data protection reasons. After they have been deleted from your account they will remain in our backups for a further 90 days. During this time we can recover them, but we do have to charge for this as it involves one of our developers going into our backups which can be tricky and time consuming work. 

    Below I've linked tutorials explaining how to add a child or children as active or enrolling, how to activate children that are enrolling, how to make children inactive or delete them and how to reactivate children that are inactive or awaiting deletion.

    This chart just quickly lays out what the different statuses are and some of the key points about them:

    Now that I've covered the different statuses, I'll answer some of the frequently asked questions about them.

     

    Should I make a child inactive or delete them?

    If you know a child will return to your setting, we would recommend making them inactive as then you can simply reactivate them when they return. If you know that children are definitely leaving your setting, we would suggest you delete them. If you keep children inactive on your Tapestry account that have left your setting, this may be in contradiction with your GDPR policies and whilst we don't currently have this in place, we may put a limit on the number of inactive children you can have on your account.

    Remember, if you delete a child from Tapestry, you still have 90 days in which you can restore them or download their journal again if there are any issues.

     

    What do I do if I've run out of space and I need to import more children?

    When you transfer children between Tapestry accounts, they will arrive in the receiving setting as enrolling, meaning they will not contribute to your number of active child spaces. You won't be able to make them active and use the full functionality of Tapestry with them though until you have enough free spaces on your account. If the children currently on your account are leaving, you can export their journals and delete them, this will then create extra spaces for you to make the enrolling children active. If you want to keep all or some of the current children active and will be over your package limit, you will need to upgrade to a larger size.     I have several accounts, can I move spaces from one into another?

    Package sizes for Tapestry accounts are set and are not customisable, so it's not possible to share spaces between separate accounts. 

     

    How long should I keep a child inactive for?

    If you know the child will be returning to your setting, you can leave them as inactive until they do return, otherwise we would recommend deleting the child as keeping them on your account may not be in line with your GDPR policies. If you have any concerns about deleting children, do remember that you have 90 days in which you can restore them or download their journal again. 

     

    Can I reuse active spaces if a child leaves part way through the year?

    Yes! If a child leaves your setting during the year, you can make them inactive or you can delete them. Doing either will free up a child space on your account. 

     

    Can I restore children who are completely gone from my account?

    After the 90 day awaiting deletion period a child stays in after they are selected to be deleted from an account, they will remain in our back ups for a further 90 days. During this time, they can be restored but we do charge for this as it involves one of our developers going into our backups which can be tricky and complicated work.

     

    Can I export PDF journals and media ZIP files for inactive and awaiting deletion children?

    It is still possible to export PDF learning journals and ZIP files of photos and videos for children that are awaiting deletion and inactive on your account and the process is exactly the same as doing this for active children. 

     

    Can parents still access their account if their child is awaiting deletion or made inactive?

    As long as the parent is still active, they will still be able to access their account if their child is deleted or made inactive. They will not be able to see any of their child's observations once they have logged in though. If you have exported a child's learning journal and/or media ZIP file, the parent will still be to download these.

    Unfortunately, it's not possible to select specific children in a photo and blur these out on Tapestry. 

    In the User Permissions section in the Control Panel you can set it so relatives can't see any media in group observations, but this would apply to all observations for all children. This tutorial will show you how to access and change the options in the User Permissions section. 

    You can use the "edit" tool to crop photos on Tapestry, to remove children from photos or could you use additional software or apps to obscure or pixelate the other child's face before uploading the photo.  

    We would ultimately like to be able to offer this within Tapestry itself, but it is likely to be a while before we are able to add this feature, and I know many settings use other apps effectively in conjunction with Tapestry (eg. adding smiley faces over the faces of the children, or a blurring tool).

    Any photo editor will probably offer you something that would work, so perhaps search your usual app store for any editor, or the word "blur" or "sticker", and see which apps work for you.  There shouldn't be any need to pay for an app - I'm sure that there are a lot that will work very well for free!

  15. We have now added the ability to enable Accidents separately from the Care Diary for schools and settings where using the whole Care Diary isn't age-appropriate.  

    To enable Accidents on your account you just need to go to the Control Panel -> Features. There you will have the option to turn on either Accidents or the Care Diary.

    Please note, it is not possible to have both Accidents and the Care Diary enabled on your account, so if you already using the Care Diary and you enable Accidents, the Care Diary will then be turned off for your account. Don't worry if you do this by accident though, as you can turn the Care Diary back on and all your previous data will be saved. 

    If you add accident forms through the Accidents and then enable the Care Diary, these will then be incorporated into the accidents part of the Care Diary. 

    Neither the Care Diary or Accidents features are available on the app, but we do plan to add them. If you would like to be kept updated about this, please contact us by emailing customer.service@eyfs.info
